The Role:

As a Project Coordinator, you will be responsible for overseeing and coordinating all essential project resources and documentation throughout the project lifecycle.

This role includes maintaining the budget and schedule, as well as managing and administering all contractual obligations, agreements with trade partners, purchase orders, meeting minutes, and shop drawing logs.

Additionally, you will manage risks, insurance, overall work performance, quality, and team progress against the project plan through consistent communication and collaboration with the project owner and team members.


Key Responsibilities:
  • Lead and communicate effectively with Suffolk Field Supervision, Subcontractors, and Vendors to ensure adherence to the Project Schedule.
  • Represent Suffolk in interactions with Owners, Architects, Consultants, Government Authorities, Vendors, and Subcontractors.
  • Administer the financial aspects of the Owner's contract, subcontracts, and purchase orders.
  • Establish and maintain effective working relationships with clients and Suffolk project team members.

Project Initiation:
  • Review the general contract and associated documents to confirm budget setup and project milestones.
  • Create a schedule of values and project logs, and plan for project safety and mobilization, ensuring validation with team members.

Procurement and Document Management:
  • Maintain the buy schedule, draft scopes of work, distribute and log subcontracts, and ensure compliance with project insurance requirements.
  • Review subcontractor references, obtain necessary bonds, and maintain comprehensive project files.
  • Manage all purchase and delivery schedules, change order processes, shop drawings, and correspondence with Owners, Architects, and Subcontractors.
  • Collaborate with Purchasing to execute trade buyout, defining scope of work and ensuring coverage.

Meeting Coordination:
  • Attend all necessary schedule and management meetings to monitor and manage the project, chairing as appropriate.

Financial Oversight:
  • Manage all requisitions and payments, including lien releases and project payroll, while maintaining optimal cash flow throughout the project.

Project Closure:
  • Deliver all necessary manuals to the Owner and consolidate project documentation and files.
  • Oversee subcontractor closeout, utility transfers, owner training, and punch list processes.
  • Ensure all warranties, as-builts, and training materials are delivered to the owner.

Qualifications:
  • Bachelor's degree in Construction Management, Engineering, or a related field, along with relevant experience commensurate with project size and scope.
  • A minimum of 5 years of related experience.
  • Demonstrated business acumen with a track record of achieving profitability objectives and maintaining strong client and subcontractor relationships.
  • Exceptional organizational skills and attention to detail, with a solid understanding of applicable contracts and legal provisions.
  • Ability to analyze and execute financial trade-offs, often in the face of incomplete data and ambiguity.
  • Proficient in managing multiple priorities and competing demands while maintaining sound customer relations.
  • Strong judgment in escalating issues appropriately within the organizational hierarchy.
  • A proactive approach with a strong sense of urgency and initiative.
  • Capability to quickly assess and respond to complex issues.
  • Excellent problem-solving skills, with the confidence to take decisive action.
  • Effective team leader with strong diplomatic and communication skills, adept at conflict resolution.

Working Conditions:

While performing the duties of this role, the employee is regularly required to sit for extended periods, communicate verbally, and perform fine motor skills using a keyboard, telephone, or writing instruments.
