Job Summary

The Office Manager is responsible for ensuring the smooth operation of the office, providing administrative support to the team, and maintaining accurate records. This role requires excellent communication, problem-solving, and organizational skills.

Key Responsibilities
  • Provide administrative support to multiple offices, supervisors, and clerical staff.
  • Oversee the processing of purchase orders, receiving invoices, and customer month-end billing.
  • Update and track documentation required for job completion and billing.
  • Work closely with the Contract Manager to set up projects and initial Oracle WOM unit rate schedules.
  • Responsible for ordering Bid Bonds and Contractor Bonds for awarded projects.
  • Monitor project status updates and review weekly Accounts Receivables reports.
  • Provide executive-level administrative support, including research, information requests, budget analysis, and record maintenance.
  • Update and implement new policies and procedures to ensure smooth operations.
  • Assist HR staff with new hire processing and onboarding procedures.
  • Order necessary equipment and supplies.
Requirements
  • High school diploma or equivalent.
  • 5 years of Office Management and Executive Administrative support experience.
  • 2-3 years of Account Management experience.
  • 3 years of Construction industry experience.
  • Strong computer skills, including proficiency in Microsoft Office applications.
Preferred Qualifications
  • Associate degree in Business Administration or equivalent.
  • Knowledge of Unifier, Procore, and Vista Viewpoint Systems.
Work Environment

This job operates in a professional office environment, requiring standard office equipment and occasional lifting of up to 50 pounds.
