POSITION SUMMARY:
The role involves a diverse range of responsibilities that facilitate the efficient functioning of the Court. This includes managing the receipt, documentation, and filing of legal papers; providing assistance to the public; handling financial transactions; and supporting the Judge and Court operations.
KEY FUNCTIONS AND DUTIES:
General Responsibilities:
Fulfills the responsibilities of the Clerk of the Court as necessary.
Guides and trains subordinate personnel in their daily tasks.
Conducts interviews and gathers information from the public.
Manages the receipt, documentation, and filing of legal documents.
Ensures the scheduling of cases and hearings is accurate.
Prepares and types various legal documents and records.
Creates and distributes the court calendar.
Handles financial transactions, including collection and accounting.
Addresses inquiries and concerns from the public.
Operates various office equipment, particularly personal computers.
Maintains regular and predictable attendance.
Performs additional related duties as assigned.
Specific Duties for Magistrate Court:
Evaluates information from citizens to ascertain if cases can proceed to the judge for warrants.
Drafts bench warrants, consent judgments, bankruptcy orders, and other legal documents.
Acts as case clerk during certain arraignments, documenting outcomes, fines, court costs, and payment schedules.
Processes worthless check complaints and maintains a computerized log of these complaints and payment schedules.
Schedules trials and notifies all relevant parties.
Distributes the weekly Court calendar to the judge and staff.
Specific Duties for Juvenile Court:
Ensures all case files are prepared for the judge.
Serves as Traffic Court clerk, preparing orders and entering data during Court, and managing follow-up processes such as fines and records.
Maintains financial records for the department, including collection and disbursement of fees.
Oversees the Purchase of Services Grant.
Submits requests for office supplies and equipment.
Assists in budget preparation and maintains records for the operating budget and inventory.
Specific Duties for Clerk of Court:
Handles filing and processing of case records for Civil and Criminal Divisions, including preparing appeals for higher courts and processing various applications.
Manages traffic violation records, including logging citations and processing payments.
Responsible for filing and processing records related to real estate transactions, ensuring compliance with recording standards.
Oversees case file requests for court calendars and hearings, ensuring proper tracking and management of files.
Manages the jury selection process, maintaining juror information and processing payroll.
EQUIPMENT USED:
Computer, Copier, Calculator, Typewriter, CJIS Scanner, Microfilm Reader/Printer.
MINIMUM QUALIFICATIONS:
Education and Experience:
High School Diploma or G.E.D. with three years of clerical support experience, or an equivalent combination of education and experience.
Licenses and Certifications:
Background check required; security awareness training as mandated.
Knowledge, Skills, and Abilities:
Proficient in business and legal English, modern office practices, and legal terminology.
Ability to type at least 35 wpm and interact courteously with the public and officials.
Strong organizational skills and ability to follow instructions.
Proficient in general computer operations and Microsoft Office Suite.
Bilingual skills are advantageous.
ADA MINIMUM QUALIFICATIONS:
Physical Ability: The role requires the ability to remain stationary, operate office machinery, and manage tasks under stress.
Essential functions may require moving items up to 10 lbs and occasional bending or reaching.
Sensory Requirements: Effective communication and coordination are essential.
Environmental Factors: The position involves both collaborative and independent work.
