Position Summary

The Outpatient Services Coordinator is responsible for managing all aspects of the outpatient registration process and scheduling services. This role involves supporting the front office team and ensuring a seamless experience for our patients.

The coordinator will handle comprehensive demographic and insurance intake, facilitate computerized registration, schedule patient appointments, and verify insurance coverage, all while maintaining a strong focus on customer service.


Key Responsibilities
  • Provide assistance to other team members by answering calls, addressing customer inquiries, and fulfilling cross-trained responsibilities.
  • Maintain daily scheduling status and proactively address any potential issues with appropriate solutions.
  • Complete patient pre-registration, registration, insurance verification, and scheduling in accordance with established standards.
  • Greet patients upon arrival, assist them as needed, and notify relevant staff of their presence.
  • Perform administrative tasks including phone management, appointment confirmations, insurance processing, photocopying, typing, faxing, inventory management, and mail sorting.
  • Ensure timely setup, maintenance, and discharge of medical records in compliance with hospital guidelines.
  • Process monthly patient satisfaction surveys to enhance service delivery.
  • Document insurance approvals and related information accurately in the medical record and computer systems.
  • Enter and reconcile therapy charges as assigned.
  • Participate in additional departmental or organizational activities as required.

Additional Responsibilities for Advanced Roles

For those in advanced positions, there are annual requirements to complete specific initiatives as outlined in the administrative ladder application.


Qualifications

Education:
High school diploma required; Associate's degree preferred.

Experience:
Preferred candidates will have two years of experience in a medical office setting or familiarity with insurance benefits.

Skills:
Computer proficiency is essential, with a preference for experience in Microsoft Office applications and the ability to learn new software quickly.

Strong communication and interpersonal skills are required, with an emphasis on working with diverse populations. Candidates should be able to work independently, be self-motivated, and contribute effectively as part of a team.

Ability to anticipate challenges and develop strategies to address them is crucial. A high level of service delivery, initiative, and attention to detail is expected.
