The IME Scheduling Specialist plays a crucial role in managing and organizing appointments between clients, IME providers, and examinees. This position is dedicated to ensuring that client-specific requirements regarding provider expertise and geographical location are satisfied while also coordinating all necessary ancillary services.
POSITION DETAILS:
This is a full-time, in-office role.
KEY RESPONSIBILITIES:
- Arrange and confirm appointment schedules with medical professionals.
- Engage with clients regarding appointment logistics, physician credentials, modifications, cancellations, and the acquisition of medical records.
- Prepare and dispatch examination notification letters on a daily basis.
- Collaborate with clients to gather essential medical documentation prior to assessments.
- Ensure timely preparation of charts by including all necessary records, creating a cover letter that outlines specific client inquiries, and routing to the provider or examination site ahead of the assessment.
- Communicate with physicians, clients, and examinees regarding any scheduling adjustments. Responsible for submitting client invoices and addressing any incurred charges.
- Coordinate additional services such as transportation and translation as required, ensuring proper cancellation or rescheduling of services when appointments change.
- Respond to incoming inquiries via phone and email, providing assistance in a prompt, courteous, and professional manner.
- Maintain spreadsheets for provider payments using internal systems.
- Process invoicing for IME and Peer reporting.
- Organize and manage document storage and record-keeping within the reporting system.
- Adhere to strict state regulations concerning forms and timelines.
- Perform additional tasks as assigned by the Unit Manager.
SKILLS & QUALIFICATIONS:
- Exceptional written and verbal communication abilities.
- Capacity to manage multiple tasks concurrently and prioritize responsibilities with minimal supervision.
- Strong interpersonal, time management, and organizational skills, with comfort in engaging with various levels of staff and external individuals.
- Able to work independently as well as collaboratively within a team environment, fostering a positive team-oriented atmosphere.
- Outstanding decision-making and problem-solving skills.
- Excellent multitasking capabilities, particularly in a deadline-driven environment.
- Above-average communication skills to effectively gather accurate information from medical offices, adjusters, account managers, attorneys, and injured workers.
- Regular and consistent attendance is required, demonstrating reliability and accountability.
- Ability to maintain confidentiality.
- Compliance with all safety regulations during working hours.
EDUCATIONAL BACKGROUND & EXPERIENCE:
- A minimum of 3 years of experience in administrative support roles.
- High school diploma or equivalent; a college degree is preferred or a combination of training and experience.
- Experience in a healthcare setting is preferred.
- Proficient in Microsoft Office Suite (Excel, Word, and Outlook).
COMPENSATION:
CorVel employs a market-based approach to compensation, and salary ranges may vary based on location and other factors. Pay rates are determined by considering federal, state, and local minimum wage requirements, geographic differentials, job-related skills, experience, qualifications, internal equity, and market conditions.
