Position Overview: Event Services Coordinator

The Events Management Department at Purdue University is in search of an Event Services Coordinator. This essential role is responsible for orchestrating facility rentals and creating unforgettable experiences for clients and guests across various venues, including Gabis Arboretum. The Event Services Coordinator's duties include managing external inquiries, conducting venue tours, finalizing event specifics, providing consultation and planning assistance, serving as the onsite event supervisor, executing events, overseeing accounts payable, and managing social media channels. The coordinator will also support the Event Operations Manager as needed.

Key Responsibilities:
  • Collaborate closely with clients to finalize event specifics, ensuring meticulous planning and execution tailored to their needs.
  • Utilize expertise in consultation and planning to guide clients through the event process, offering professional advice and support.
  • Act as the onsite event supervisor, managing all facets of event execution to guarantee seamless operations and outstanding customer satisfaction.
  • Exhibit attention to detail and problem-solving skills to address any challenges that may arise during events.
  • Manage accounts payable and financial transactions related to events and banquets.
  • Respond to inquiries from potential clients interested in facility rentals.
  • Provide comprehensive information and guidance to prospective clients to assist them in making informed decisions regarding their event requirements.
  • Conduct venue tours in the absence of the Director of Event Services, focusing on showcasing university venues to potential clients.
  • Oversee social media platforms designated for Events Management, promoting facility rentals and events to enhance community awareness of university offerings.

Qualifications:
  • High School Diploma required.
  • Bachelor's Degree in event management, hospitality, or a related field preferred, or equivalent experience.
Experience:
  • At least one year of experience in sales and/or event coordination.

  • Able to lift and carry up to 10 lbs frequently, and up to 20 lbs as needed.
