Key Responsibilities:
- Report directly to the Program Manager of Faculty Affairs.
- Draft and manage letters of offer and status changes across multiple departments.
- Provide comprehensive support throughout the faculty employment lifecycle.
- Facilitate and advocate for faculty-related programs, policies, and procedures.
- Execute administrative and human resources tasks for faculty, including schedule management and tenure tracking.
- Assist leadership in the oversight of new and special faculty initiatives.
- Communicate essential information to faculty members.
- Administer and process documentation related to faculty appointments, promotions, and tenure.
- Maintain organized and accurate records, ensuring proper filing of documents.
- Develop and manage content for faculty websites and online portals.
- Collect and relay all necessary information pertinent to the faculty academic lifecycle.
- Generate and interpret reports on faculty-related data as required.
- Support the presentation of faculty data.
- Safeguard and manage confidential files concerning faculty misconduct and sensitive matters.
- Act as the primary contact for faculty inquiries.
- Stay informed about all faculty-related information, including payroll, sabbatical, and retirement processes, and effectively communicate with university stakeholders.
- Maintain faculty appointment and hiring data within campus-wide systems.
The ideal candidate should possess familiarity with mail merge and template utilization at the University of Southern California, alongside experience in managing correspondence and assisting with the distribution of tasks within the Office of Faculty Affairs.
Essential Qualifications:
- Proficient in Word documents and DocuSign.
- Exhibit a customer service-oriented approach while collaborating with various departments and institutes.
Work Arrangement:
This is a hybrid position requiring a minimum of four days on-site each week.
Compensation:
The hourly rate for this position is $50.01.
Minimum Education:
Bachelor's degree.
Minimum Experience:
Three years of relevant experience.
Field of Expertise:
Ability to work autonomously with minimal supervision. Familiarity with faculty-related processes such as tenure and sabbaticals. Highly organized and self-driven. Proficient in Microsoft Office. Exceptional written and verbal communication skills.
