Position Summary:
The Appointment Scheduler – Insurance Verification Specialist plays a crucial role in the healthcare process by ensuring the timely pre-certification, scheduling, and pre-registration of outpatient services across various departments. This position involves effective communication with both departments and medical offices, ensuring that all scheduled appointments are managed efficiently. The specialist is responsible for generating and distributing printed schedules, as well as answering inquiries related to testing and procedures, directing patients to the appropriate resources when necessary. Adherence to established protocols for scheduling and financial information collection is essential.
Key Responsibilities:
- Facilitates the scheduling of medical procedures for patients, ensuring alignment with the appropriate healthcare provider and time/location availability using designated scheduling systems.
- Handles the scheduling and pre-registration of approximately 20 patients daily.
- Conducts pre-procedure calls to confirm appointment details with patients.
- Provides comprehensive and accurate information to patients regarding preparation for tests, arrival times, and other necessary directions; addresses patient inquiries effectively.
- Secures precertification and pre-authorization as mandated by Medicare, Medicaid, and other third-party payers.
- Acts as a financial advocate for patients without insurance coverage.
- Pre-registers patients by ensuring their records are current and accurate, making necessary updates in the system.
- Inputs confidential health and financial information into the computerized system with a high degree of accuracy.
- Collects payments from patients, applies these payments to accounts, and reconciles daily financial reports.
- Ensures the Medicare Secondary Payer Questionnaire is completed accurately based on patient responses and adjusts Medicare payment sequences as needed.
- Verifies insurance eligibility for each patient and updates records to reflect any changes or discrepancies.
- Confirms charity eligibility for self-pay patients meeting hospital criteria and discusses outcomes with them.
- Collaborates with hospital staff to maintain a cohesive approach to patient care.
- Performs additional duties as assigned.
Qualifications:
Education:
- High school diploma or GED equivalent is required.
Experience:
- Preferred experience of at least 6 months in an office or clerical role.
- Experience in scheduling or registration within a healthcare environment is preferred.
Skills and Competencies:
- Typing proficiency of at least 40 words per minute.
- Strong understanding of health insurance processes and medical terminology.
- Excellent interpersonal communication skills, with the ability to engage effectively with patients, their families, and the public.
Physical Requirements:
- Ability to sit or stand for extended periods.
- Willingness to wear personal protective equipment (PPE) as required.
- Capability to use hands for various tasks, including typing and handling objects; must be able to reach, climb, balance, stoop, kneel, and talk or hear.
- Occasional lifting or moving of up to 25 pounds may be required.
- Specific vision abilities necessary for the role include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
Employment Classification:
This position is classified as non-exempt under the Fair Labor Standards Act (FLSA), entitling employees to overtime pay for hours worked beyond 40 in a workweek, in accordance with applicable regulations.
