Administrative Support Technician

Position Overview
The Office Technician (Typing) will report to the Pharmacy Services Manager within the Pharmacy at the Department of State Hospitals. The selected candidate will undertake a variety of responsibilities, including but not limited to:
- Distributing monthly Medication Room Inspection reports across the facility.
- Recording and transcribing minutes for various committee meetings, including Pharmacy & Therapeutics, Pharmacy Technician, and Antimicrobial Stewardship.
- Preparing and typing essential documents such as duty statements, proposals, budget reports, and updates to policies and procedures.
- Coordinating the meeting schedule for the Pharmacy Conference Room.
- Managing phone communications and recording messages for the Pharmacy Department.
- Documenting staff sick calls on the daily sign-in sheet.
- Assisting Pharmacy Management with the verification of employee timekeeping records.
- Creating and maintaining organized filing systems, ensuring compliance with legal retention requirements for pharmacy records.
- Evaluating supply usage patterns and procuring necessary Pharmacy supplies to maintain adequate inventory levels.
- Completing and processing work orders efficiently.
- Preparing and processing security clearance forms for Pharmacy interns, vendors, and visitors.
- Ordering key sets for new staff and maintaining an updated key set list.
- Acting as the department's Training Coordinator to facilitate orientation and training for all Pharmacy staff.
Minimum Qualifications
To be eligible for this position, candidates must meet one of the following criteria:
- Be List Eligible: Successfully complete the relevant State civil service exam for this classification.
- Be Transfer Eligible: Currently employed with the State of California in the same or a comparable classification.
- Be Reinstatement Eligible: Previously held permanent employment with the State of California in the same or a comparable classification.
Required Experience:
Either:
- One year of experience in California state service performing clerical duties at a level equivalent to an Office Assistant, Range B.
- Two years of experience in typing and clerical work, with academic education beyond the twelfth grade substituting for experience on a specific basis.
All candidates must provide proof of minimum qualifications with their application, which may include unofficial college transcripts or relevant documentation.
Working Conditions
This role requires work within a secured treatment area.
Special Requirements
Candidates must demonstrate the ability to type at a minimum speed as specified in the Class Specifications. A valid typing certificate confirming the required speed must be obtained prior to hiring.
For those utilizing Out of Class experience to meet qualifications, appropriate documentation must be submitted. Failure to provide required documents may result in disqualification from consideration.
