Job Title: Administrative Assistant/Receptionist

Job Summary:

We are seeking an experienced Administrative Assistant/Receptionist to join our Human Resources team at the Philadelphia Corporation for Aging. The successful candidate will provide administrative support to the Director of Human Resources and HR staff, ensuring the smooth operation of the department.

Key Responsibilities:

  • Provides administrative support to the Director of Human Resources and HR staff as assigned.
  • Receives, dates, and distributes incoming mail and inter-office material; routes outgoing mail and inter-office communications appropriately.
  • Prepares routine correspondence; drafts correspondence, memos, job descriptions, job opening announcements, etc.
  • Greets visitors to the department and answers department's phones in a pleasant, courteous, and professional manner.
  • Orders flowers/fruit baskets for employees as needed.
  • Assists with scheduling interviews for selected applicants.
  • Creates and updates personnel files.
  • Responsible for security/photo ID badge process: issue and termination of access.
  • Assists with background checks, credential verification, and pre-employment screening.
  • Performs online transcript requests and professional license checks.
  • Maintains all HR i-net pages and ensures information is current.
  • Provides administrative support as needed for HR meetings & training.
  • Performs basic mathematical calculations as appropriate.
  • Creates forms and templates as needed.

Requirements:

  • High school or college or the equivalent work experience and education.
  • Two years' professional administrative assistant experience required.
  • Proficient in Microsoft Word, Excel, PowerPoint, and working knowledge of HRIS (preference).
  • Knowledge of general office procedures.
  • Excellent organizational skills and attention to detail.
  • Extensive knowledge of office management systems and procedures.
  • Ability to operate general office equipment.
  • Excellent written and verbal communication skills.
  • Ability to type 60 words a minute.
  • Ability to maintain confidential information.

Salary: $41,192.55-$47,685.53
