Role Summary: The Office Support Coordinator will be instrumental in facilitating daily operations by delivering extensive administrative assistance, organizing travel logistics, and supporting procurement efforts. The ideal candidate will possess exceptional organizational skills, efficiency, and the ability to juggle multiple responsibilities effectively. This role will report to the Senior Manager of Procurement & Lab Operations and collaborate closely with other administrative team members.

This position is part-time, providing a flexible work schedule. Candidates should ideally be available from Monday to Friday, between 1 PM and 5 PM.

Key Responsibilities:

  • Travel Management (40%):
    • Coordinate and oversee travel plans, including booking flights, accommodations, and transportation for staff.
    • Ensure travel arrangements comply with company policies and budgetary guidelines.
    • Address travel-related inquiries and resolve any issues promptly.
  • Procurement Support (40%):
    • Assist in the procurement process by generating purchase requests and maintaining accurate procurement documentation.
    • Communicate with vendors and suppliers to guarantee timely delivery of products and services.
    • Help manage relationships with suppliers.
  • General Administrative Support (20%):
    • Contribute to maintaining a tidy office environment.
    • Assist with receiving deliveries and managing office supplies.
    • Support office events, meetings, and employee engagement activities.
    • Provide assistance with various administrative tasks as needed.

Qualifications:

Currently pursuing an Associate's or Bachelor's degree from an accredited institution, or possess 1-2 years of relevant experience.

Required Skills:

  • Demonstrated experience in an administrative or support capacity, ideally in a fast-paced environment.
  • Strong organizational and multitasking abilities with a keen eye for detail.
  • Excellent verbal and written communication skills.
  • Proficiency in Google Workspace (Docs, Sheets, Slides, Gmail).
  • Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is advantageous.
  • Experience with travel booking systems and procurement software is a plus.
  • Ability to work both independently and collaboratively, showcasing flexibility and adaptability.
  • Strong problem-solving capabilities and the ability to handle confidential information with care.

Physical Requirements:

  • Ability to remain in a stationary position for extended periods, whether standing or sitting.
  • Repetitive wrist movements.
  • Mobility to perform tasks effectively.
  • Ability to communicate with others to exchange information.
  • Capability to lift up to 25 lbs.
