Key Responsibilities
  • Prepare documents and materials, respond to complex correspondence and telephone inquiries, and maintain filing systems.
  • Prepare basic to complex statistical data and reports, and provide work direction to lower-level clerical staff.
  • Liaise with third-party service providers, serve as a key interface with other departments, and determine the urgency of situations when contacting senior staff members or physicians.
  • Initiate or respond to correspondence and memoranda, prepare presentation material, and ensure the accuracy of confidential documents.
  • Schedule and coordinate meetings, appointments, travel arrangements, conferences, and training resources.
  • Compile and review financial and/or statistical data, perform bookkeeping functions, and monitor budget, expense account, and special funds.
  • Provide support for special projects and assignments, research, analyze, and summarize information, and prepare data and contribute to projects and studies.
  • Ensure established hospital/departmental unit policies, procedures, objectives, quality assurance, safety, environmental, and infection control standards are updated.
  • Monitor and maintain staff schedules, review and verify employee records, and inform the manager of any discrepancies.
  • Facilitate and manage the onboarding process for new hires and outside consultants.
  • Give routine assignments to and/or assist in overseeing the general work activities of lower-level clerical and secretarial staff.

This role requires strong organizational, communication, and problem-solving skills, with the ability to work independently and as part of a team. The successful candidate will have a strong attention to detail, be able to prioritize tasks, and maintain confidentiality when handling sensitive information.
