- Assist in managing communications for all team members to ensure exceptional customer experiences
- Maintain and organize daily repair orders for service advisors and managers
- Alert management regarding urgent service cases and assist in resolution
- Verify technician repair documentation for accuracy
- Ensure all necessary documentation is attached to repair orders
- Engage with warranty companies for claim processing and approvals
- Manage schedules related to service contracts and insurance claims
- Review and confirm the accuracy of financial entries and classifications
- Support the service team with warranty information as required
- Update repair order lists to ensure timely closure of work orders
- Collaborate with team members to enhance customer satisfaction
- Document and update information in DealerOps regularly
- Process payroll for technicians and support staff, ensuring accuracy and timely submission
- Prepare end-of-month reports and assist in closing repair orders
- Conduct independent assignments and financial activities as needed
- Analyze and report on financial data as assigned
- Utilize Dealer Track, DealerOps, Excel, Word, and other software effectively
- Perform additional duties as assigned
- Exceptional organizational skills to maintain service and customer records
- Attention to detail to ensure compliance with documentation standards
- Team-oriented individual who thrives in a collaborative setting
- Strong communication abilities
- Ability to fulfill essential duties effectively
- Two to four years of relevant experience or equivalent education
- Proficient in reading and interpreting various documents
- Capable of presenting information clearly in small group settings
- Basic mathematical skills for financial calculations
- Able to interpret diverse instructions in various formats
- Valid Driver's License required
- Regularly required to sit for extended periods, use hands for typing and handling documents, and communicate effectively
- Occasional lifting of office supplies up to 10 pounds
- Visual acuity necessary for data analysis and computer work
- This position is based in an office setting with standard office equipment
- Fast-paced environment with frequent interruptions, but generally quiet
- Extended hours on the computer for data entry requiring high attention to detail
