Executive Assistant

Frink-Hamlett Legal Solutions, Inc. is seeking an experienced Executive Assistant to support the General Counsel and Chief Compliance Officer in their New York City office. The ideal candidate will have 7-10+ years of relevant business experience, including 3-5+ years of experience supporting a key executive in a corporate legal environment.
- Support the General Counsel and Chief Compliance Officer in managing confidential and sensitive information.
- Prepare initial drafts of legal documentation, including correspondence, memoranda, and presentations.
- Manage budgets and forecasts for the department and oversee the day-to-day budget process.
- Direct communication with the company's management to pursue department goals and safeguard sensitive items.
- Manage relationships with department vendors, including negotiation and dispute resolution.
- Support the office recruitment process and manage the onboarding process for new hires.
- Assign tasks and provide direction to a junior administrative staff member.
- Prepare and document financial information in an audit-ready manner.
- Maintain the General Counsel's appointments schedule and oversee domestic and international travel arrangements.
Requirements:
- Bachelor's degree in a liberal arts/sciences, strongly preferred.
- Certificate in paralegal studies is helpful.
- 7-10+ years of relevant business experience, including 3-5+ years of experience supporting a key executive in a corporate legal environment.
- Prior experience working with legal and compliance programs and professionals is strongly desired.
- Experience working in a start-up environment, a plus.
- Experience working in a scientific intellectual property environment, a plus.
- Experience in a customer-focused business environment.
- Strong attention to detail.
- Legal and compliance research.
- Statistical, operational, strategic, and/or financial planning and reporting.
- Gathering, analyzing, interpreting, reporting, and benchmarking legal and compliance data.
- Project and task management.
- Analysis and management of administrative processes and quality efforts.
- Excellent communication and interpersonal skills.
- Exceptional exercise of discretion and confidentiality.
- Ability to balance multiple priorities and meet deadlines.
- Technologically savvy knowledge worker.
- Specific technology knowledge and experience needed to produce the desired outcomes include Apple iWork and Microsoft Office Suite.
- Ability to engage, direct, manage, and resolve vendor relationship issues.
- Experience creating and producing grammatically correct, error-free electronic and paper legal documents, correspondence, reports, research, meeting minutes, and presentations.
- Ability to edit documents for content clarity with excellent proof-reading skills.
