Position Overview:

Under the guidance of the HR Manager, this role is primarily focused on the management of the main office's grounds and physical facilities, ensuring a secure environment for both employees and visitors.

Key Responsibilities:

  • Implementing and enforcing safety protocols to maintain a secure atmosphere by conducting access control duties, ensuring that only authorized individuals gain entry to the premises.
  • Issuing identification cards, access keys, and building entry cards for new hires.
  • Retrieving identification cards and access keys from departing employees.
  • Monitoring surveillance systems and promptly addressing any suspicious activities.
  • Conducting regular patrols of the property to identify and mitigate security threats.
  • Responding to safety and security incidents, taking appropriate measures during emergencies, including evacuations and first aid, or contacting emergency services as necessary.
  • Documenting incidents and providing detailed information for follow-up investigations.
  • Preparing the main office for meetings, events, and rentals, coordinating setup and breakdown with relevant staff.
  • Managing the organization's vehicle fleet.
  • Delivering exceptional telephone reception services and contributing to the administrative support team that assists the overall organization and its educators.
  • Handling incoming calls, directing them to the appropriate personnel, and ensuring high-quality customer service.
  • Performing additional duties as assigned.

Required Qualifications:

  • Associate's degree or equivalent experience relevant to the position. A High School diploma/GED with one year of transferable experience may be considered.
  • Previous experience as a law enforcement officer, preferably with NY State Police.
  • Proficiency in Windows-based software, including Microsoft Office Suite (Outlook, Word, PowerPoint, Publisher, Excel).
  • Strong organizational skills and the ability to prioritize tasks effectively.
  • High level of integrity and sound judgment, capable of handling confidential information.
  • Ability to follow both oral and written instructions with minimal supervision.
  • Effective communication skills across various channels, utilizing traditional and electronic methods.
  • Team-oriented mindset with the ability to collaborate effectively.
  • Ability to engage with diverse audiences while maintaining cultural sensitivity.
  • Willingness to meet travel requirements associated with the role.
  • Flexibility to work varied hours, including evenings and weekends as needed.

Preferred Qualifications:

  • Familiarity with NYS Archives Department regulations.
  • Understanding of safety and security protocols within educational environments.
  • Proficiency in Microsoft Office, Adobe products, and virtual meeting platforms like Zoom.

Compensation:

Hourly rate of $30, with full benefits including vacation, personal days, sick leave, health and dental insurance, retirement plans, and various insurance options.
