Medical Secretary

We are seeking a highly organized and detail-oriented Medical Secretary to join our team at NYU Grossman School of Medicine. As a Medical Secretary, you will be responsible for providing basic support services for Medical Office intake operations. This includes assisting with post-visit inter-departmental scheduling, obtaining pre-authorizations/certifications, and providing reception assistance.
Key Responsibilities:
- Provide reception assistance, including greeting patients, answering calls, and directing requests to the proper individual.
- Screen telephone callers in a pleasant and professional manner, handle calls, take messages, or direct callers to the appropriate person or area.
- Perform other related duties as needed by providers and supervisors.
- Assist with the completion of special projects, reports, and activities, ensuring requested and related information is accurate and complete.
- May delegate and oversee the work of less senior staff, reviewing their work and providing guidance as needed.
- Responsible for pre-authorizations and certifications, ensuring appropriate procedure and diagnosis coding is utilized in the pre-certification and verification process.
- Collaborate with other areas of the Medical Center and insurance providers to obtain pre-authorizations/certifications for treatments and diagnostic procedures.
- Primarily responsible for taking patient phone calls and scheduling over the phone, greeting and screening telephone calls in a pleasant and professional manner.
- Collect patient demographic-related data, electronically verify insurance eligibility, coordinate pre-authorizations as appropriate, take medical history, and assign appointments to physicians based on procedure and insurance coverage.
- Maintain workload statistics and other data for departmental records, recording statistics in established time intervals designated by supervisor.
- Prepare simple, routine memoranda, letters, labels, routine manuscripts, correspondence, and other documents as needed, reviewing work for accuracy and completeness.
- Maintain routine calendars, assist in basic preparation for conferences, and related duties.
- May assist, provide guidance, and/or train less senior staff in completing intake-related duties.
- Maintain supplies and cleanliness of space, restock supplies as needed, and notify supervisor of any shortage of supplies.
- Maintain and receive files for the area, maintaining files in an organized and up-to-date manner to facilitate their retrieval.
- Complete filing in accordance with departmental procedures, sort and distribute documents and forms for the area section, and distribute materials according to content of communications and departmental procedures.
- Log in materials with respect to time and data when applicable, process incoming and outgoing documents, complete forms neatly, secure appropriate signatures, and forward documents/forms to the correct destination based on pertinent Medical Center procedures.
- Maintain cooperative and professional relationships with physicians, nurses, and office and clinical staff.
- Refer patients who have questions regarding insurance coverage or are in need of counsel on financial matters based on established criteria to the Business Office Associate.
- Monitor intake work queue for timely intake completion, scan all necessary documents into the intake system, and be responsible for patient check-in and check-out.
- Gather all patient demographic-related data and materials from patients and/or their representatives, obtain insurance information, verify insurance eligibility electronically, take their picture, and ask them to use Patient Secure.
- On subsequent visits, ask them to verify demographic info and make any necessary edits, collect and ask patients to sign patient-related documents, including HIPAA, MSPQ, ABN, etc.
- Follow up with patients and/or their representatives, physician offices, etc., to gather missing data and materials in order to complete the intake process, or refer to more senior level staff.
- Schedule routine appointments and follow-ups for visits and procedures that do not require or have already been pre-authorized, prepare the daily schedule, and maintain cooperative and professional relationships with physicians, nurses, and office and clinical staff.
Requirements:
- High School diploma required.
- 1 year of relevant medical clerical experience or the equivalent combination of education and experience.
- Prior physician practice experience and knowledge of medical terminology required.
- Background in computer literacy preferred.
- Light, accurate keyboarding skills required.
- Excellent organizational, interpersonal, and communications skills required.
Preferred Qualifications:
- Knowledge of computer-based scheduling and appointment programs.
- Excellent telephone skills.
