Job Summary

We are seeking a highly organized and detail-oriented Medical Secretary to join our team at NYU Grossman School of Medicine. As a Medical Secretary, you will provide administrative support to our medical office, ensuring seamless patient care and efficient office operations.

Key Responsibilities
  • Provide reception assistance, including greeting patients, answering calls, and directing requests to the appropriate individual.
  • Screen telephone callers in a pleasant and professional manner, handle calls, take messages, or direct callers to the appropriate person or area.
  • Perform other related duties as needed by providers and supervisors.
  • Assist with the completion of special projects, reports, and activities, ensuring requested and related information is accurate and complete.
  • Maintain workload statistics and other data for departmental records, recording statistics in established time intervals designated by the supervisor.
  • May delegate and oversee the work of less senior staff, reviewing their work and providing guidance as needed.
  • Responsible for pre-authorizations and certifications, ensuring that appropriate procedure and diagnosis coding is utilized in the pre-certification and verification process.
  • Post-patient appointment, coordinate inter-departmental scheduling for specialist visits, scans, and procedures in accordance with insurance coverage, in compliance with physician directives.
  • Collaborate with other areas of the Medical Center and insurance providers to obtain pre-authorizations/certifications for treatments and diagnostic procedures, ensuring patient eligibility at the time of their appointment.
  • Primarily responsible for taking patient phone calls and scheduling over the phone, greeting and screening telephone calls in a pleasant and professional manner.
  • Schedule appointments for visits, procedures, and follow-ups, collecting patient demographic-related data, electronically verifying insurance eligibility, coordinating pre-authorizations as appropriate, taking medical history, and assigning appointments to physicians based on procedure and insurance coverage.
  • Maintain workload statistics and other data for departmental records, recording statistics in established time intervals designated by the supervisor.
  • Prepare simple, routine memoranda, letters, labels, routine manuscripts, correspondence, and other documents as needed, reviewing work for accuracy and completeness.
  • May maintain routine calendars, assist in basic preparation for conferences, and perform related duties.
  • May assist, provide guidance, and/or train less senior staff in completing intake-related duties.
  • Maintain supplies and cleanliness of space, restock supplies as needed, and notify the supervisor of any shortage of supplies.
  • Maintain and receive files for the area, maintaining files in an organized and up-to-date manner to facilitate their retrieval.
  • Complete filing in accordance with departmental procedures, sort and distribute documents and forms for the area section, distribute materials according to content of communications and departmental procedures, log in materials with respect to time and data when applicable, process incoming and outgoing documents, complete forms neatly, secure appropriate signatures, and forward documents/forms to the correct destination based on pertinent Medical Center procedures.
  • Answer patient questions to ensure understanding and patient satisfaction, or refer them to more senior-level staff, maintaining confidentiality on matters to which they are privileged.
  • Type routine material such as forms and letters, envelopes, etc., type materials neatly, accurately, and according to instructions, write materials clearly and legibly.
  • Maintain cooperative and professional relationships with physicians, nurses, and office and clinical staff.
  • Refer patients who have a question regarding insurance coverage or are in need of counsel on financial matters based on established criteria to the Business Office Associate.
  • Monitor intake work queue for timely intake completion.
  • Scan all necessary documents (insurance cards, lab requisitions, etc.) into the intake system.
  • Responsible for patient check-in and check-out, gathering all patient demographic-related data and materials from patients and/or their representatives, obtaining insurance information (ID card, member/group #s, etc.), verifying insurance eligibility electronically, taking their picture, and asking them to use Patient Secure.
  • On subsequent visits, ask them to verify demographic info and make any necessary edits, collect and ask patients to sign patient-related documents, including HIPAA, MSPQ, ABN, etc., follow up with patients and/or their representatives, physician offices, etc., to gather missing data and materials in order to complete the intake process, or refer to more senior-level staff.
  • Schedule routine appointments and follow-ups for visits and procedures that do not require or have already been pre-authorized, prepare the daily schedule.
Requirements
  • High School diploma required; 1 year of relevant medical clerical experience or the equivalent combination of education and experience.
  • Prior physician practice experience and knowledge of medical terminology required.
  • Background in computer literacy preferred.
  • Light, accurate keyboarding skills required.
  • Excellent organizational, interpersonal, and communications skills required.
Preferred Qualifications
  • Knowledge of computer-based scheduling and appointment programs.
  • Excellent telephone skills.
