Job Summary

We are seeking a highly skilled Administrative Secretary to join our team at the Hawaii State Department of Education. As an Administrative Secretary, you will provide administrative support to our supervisors and staff, ensuring the smooth operation of our office.

About the Role

The ideal candidate will have excellent communication skills, both written and verbal, and be able to work independently with minimal supervision. You will be responsible for managing calendars, making travel arrangements, and preparing correspondence and reports.

Key Responsibilities
  • Provide administrative support to supervisors and staff, including managing calendars and making travel arrangements
  • Prepare correspondence and reports, including drafting and editing documents
  • Screen and respond to incoming calls and emails, as well as direct visitors to the appropriate staff member
  • Maintain accurate and up-to-date records and files, both physical and electronic
  • Assist with special projects and events, as needed
Requirements

To be successful in this role, you will need:

  • A high school diploma or equivalent, with courses in basic English and arithmetic
  • At least two years of experience in a clerical or secretarial role, with progressively responsible typing, stenographic and/or substantive clerical work
  • Excellent communication and organizational skills, with the ability to work independently and as part of a team
  • Proficiency in Microsoft Office, including Word, Excel, and Outlook
  • A valid driver's license, if required by the department
