Job Overview

The Administrative Management Analyst plays a crucial role in supporting organizational operations by facilitating effective communication and ensuring the smooth execution of administrative tasks.

Key Responsibilities

  • Conducts thorough analysis of administrative workflows and agency initiatives. Engages with colleagues, management, and external stakeholders to collect and evaluate information regarding operational processes and programs. Prepares various documents including contracts, reports, and correspondence with strategic recommendations for management.
  • Provides essential management and program support, which encompasses planning, research, analysis, and project management.
  • Oversees procurement and contracting administrative duties.
  • Evaluates, negotiates, and administers contracts while advising on administrative procedures.
  • Handles diverse administrative tasks such as travel arrangements, personnel management, budgeting, procurement, and records management.
  • Manages correspondence and serves as a liaison between the organization and external entities.
  • Coordinates logistics for events and conferences, assists in preparing presentation materials, and offers on-site support.
  • Participates in strategic meetings to enhance program management; processes related documentation and generates program reports; conducts audits; maintains program databases; and instructs staff on operational procedures.
  • Welcomes guests and manages inquiries professionally, interacting with high-level officials and stakeholders.
  • Determines the necessity of notifying executives regarding significant matters.
  • Acts as the office manager, identifying and implementing procedural improvements as needed.
  • Identifies and resolves issues impacting workflow and organizational efficiency.
  • Demonstrates proficiency in Microsoft Office Suite, organizes training sessions, and prepares training materials.
  • Performs additional duties as assigned.

Work Environment

This position is situated in a professional office setting, utilizing standard office equipment such as computers and telecommunication devices.


Position Type

This is a full-time role with standard working hours from Monday to Friday.


Travel Requirements

Local travel is primarily expected during business hours, with occasional out-of-area travel.


Qualifications

  • High School diploma or equivalent is required.
  • 8-10 years of experience in administrative roles is necessary.
  • Strong attention to detail and excellent customer service skills.
  • Ability to manage multiple tasks effectively.

Security Clearance

A SECRET security clearance is required for this position.
