The Department of Psychiatry and Behavioral Sciences is in search of a dedicated Accounting Associate to deliver essential accounting and financial services related to the management of central financial accounts, endowments, gifts, and designated awards, ensuring adherence to donor stipulations, departmental policies, and institutional regulations.

Key Responsibilities:

  • Oversee the implementation of faculty administrative supplements, including tracking and management during leave, termination, and initiation of supplements.
  • Examine transactions and supporting documentation for accuracy, consistency, authorization, compliance, and completeness. Monitor accounting systems for outstanding items.
  • Compile, maintain, and validate data and reports for precision. Generate standardized financial reports as required.
  • Address transactional inquiries and escalate broader issues as necessary.
  • Process financial transactions, reimbursements, and purchasing requests, including vendor setup and journal entries, under the guidance of senior staff.
  • May assist in establishing accounts within financial systems and preparing invoices.
  • Engage in new initiatives, such as developing and maintaining comprehensive commitment tracking systems and faculty bonus frameworks.
  • Create job aids and process documentation to standardize operations within the team. Ensure compliance with university policies and federal regulations.
  • Collaborate effectively with internal departments and institutional stakeholders.

Desired Qualifications:

  • Experience in accounting or finance within an academic context.
  • Familiarity with Generally Accepted Accounting Principles (GAAP).
  • Completion of Cardinal Curriculum I and II or willingness to obtain.
  • Proficiency in Oracle, Smartsheet, Excel, and other relevant databases.
  • Strong communication skills to convey information clearly across diverse audiences.
  • Willingness to learn new skills and participate in on-the-job training.

Education & Experience (Required):

A high school diploma or equivalent, along with two years of relevant work experience.

Knowledge, Skills, and Abilities (Required):

  • Understanding of fundamental accounting procedures.
  • Ability to utilize computerized office applications and accounting systems effectively.
  • Capability to communicate information clearly and effectively to internal stakeholders and client groups.

Certifications & Licenses:

Completion of Cardinal Curriculum I and II or willingness to obtain.

Physical Requirements:

  • Consistently perform desk-based computer tasks.
  • Frequently sit, sort, and file paperwork, and handle light lifting tasks.
  • Occasionally write by hand, bend, and perform other physical activities.
  • Rarely stand, walk, or reach above shoulder height.

Working Conditions:

May require extended hours during peak business periods.

The compensation for this position will be based on the location of the successful candidate. The expected pay range for this position is $27.88 per hour. Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location, and external market pay for comparable jobs.
