Job Summary

The Fortis Bank IRA Operations Specialist is a key member of our team, responsible for ensuring the smooth processing of distributions, transfers, and rollover requests for our Self-Directed IRA clients. This role requires a high level of urgency and attention to detail, as well as the ability to adapt to evolving technology solutions.

Key Responsibilities
  • Client Service: Provide comprehensive support to clients related to IRA transaction requests, ensuring a seamless and efficient experience.
  • Transaction Processing: Analyze and process client-initiated distributions, transfers, and rollover requests, ensuring accuracy and compliance with client instructions.
  • Documentation Management: Ensure all documentation related to transactions is properly archived and noted within the correct system.
  • ACAT Processing: Process outgoing ACAT transactions and maintain accurate documentation.
  • Discrepancy Resolution: Address, communicate, and resolve discrepancies in a timely manner.
  • Client Communication: Proactively communicate with clients regarding the status of their requests.
  • Team Support: Manage call, chat, and email volume for the IRA Operations team, answering, screening, and forwarding incoming correspondence as needed.
  • Financial Transactions: Assist in processing outgoing cash transactions within the Bank's trust accounting system.
Requirements
  • Education: Bachelor's Degree preferred; High school diploma required.
  • Experience: Minimum of 3-5 years of experience in trust operations, banking experience a plus.
  • Culture and Competencies: Embodies the Fortis Bank culture principles and competencies, demonstrating a positive, ambitious, and solution-oriented attitude.
  • Technical Skills: Proficient in Microsoft Office suite products and technology, including Outlook, Microsoft Teams, Word, Excel, and PowerPoint.
  • Adaptability: Strong ability to adapt to systems and technology, including banking and/or trust core accounting systems, client relationship management tools, and other common office management products.
  • Communication: Communicates effectively and professionally, both verbally and via email and other chat tools.
  • Organizational Skills: Excellent organizational skills, regularly demonstrating the ability to multitask, prioritize, and manage time efficiently.
