Job Summary
We are seeking a highly organized and detail-oriented Appointment Scheduler I to join our team. As a key member of our healthcare delivery system, you will be responsible for scheduling appointments, coordinating transportation, and ensuring seamless communication with our participants, healthcare providers, and staff.
Responsibilities
- Schedule appointments for diagnostic and subspecialty services, ensuring timely and efficient coordination with our day center operations.
- Provide accurate and detailed information to clinic staff regarding test preparations and directional instructions.
- Communicate with clinic staff to obtain prior authorization and ensure proper medical clearance and pre-surgical testing as needed.
- Ensure appointments are scheduled based on urgency and that all physician orders are scheduled prior to the due date.
- Maintain current automated scheduling systems to create participant appointment matrices, lists of unscheduled orders, scheduled appointments, and completed appointments.
- Participate in weekly meetings with designated staff to discuss and coordinate transportation and escorts for upcoming scheduled appointments.
- Double-check physician orders to ensure Specialist's name and specialty are accurate.
- Adhere to regulations regarding participant confidential information and HIPAA.
- Ensure accurate and timely entries are made daily using automated systems.
- Prepare periodic and special reports that require gathering information from different sources, compiling data, and arranging it into a proper format.
- Provide coverage for other members of the department as needed to avoid backlogs and delays.
- Complete projects and perform other duties as assigned by immediate supervisor, department manager, or division chief.
Requirements
- High School Diploma or equivalent.
- Associate Degree and/or certificate program preferred.
- One to two years of medical clinic administrative or medical scheduling experience preferred.
- Education on and compliance with HIPAA regulations; maintains strict confidentiality of patient and client information.
- Bilingual preferred (English/Spanish).
