This position is crucial in ensuring that all daily operational tasks related to ad trafficking and media purchasing are executed accurately and punctually.

This role operates under a hybrid work model, with three days in the office and two days working remotely.

KEY RESPONSIBILITIES

Ad Trafficking Duties

  • Collaborates with fellow specialists to gather Ad Specifications and provides guidance to Account and Project Managers.
  • Ensures all received creative assets meet specifications and serves as the primary contact for communicating any necessary revisions to the Account Management and Project Management teams.
  • Oversees the approval process for all campaign setups and ad preview links from specialists in Paid Search and Social teams.
  • Prepares traffic sheets for Programmatic campaigns and manages campaign trafficking in CM360.
  • Works closely with the Media Operations Manager for approvals and quality assurance.
  • Handles the delivery of ad tags to third-party vendors.
  • Monitors ad delivery at campaign launch and collaborates with activation teams to troubleshoot any issues that arise.
  • Assists with reporting deliverables as required.

Media Buying Operations and Invoice Reconciliation

  • Supports the maintenance of the Master Account Tracker and Master Invoice Tracker.
  • Manages Media Orders within Workamajig.
  • Processes approved authorizations and vendor insertion orders.
  • Updates media buys in Workamajig as necessary.
  • Ensures Client Master Trackers are aligned with approved media buys, including flowcharts and budget logs.
  • Reconciles vendor invoices by:
    • Logging all media invoices received monthly.
    • Reviewing vendor invoices for accuracy.
    • Verifying invoices against planned and delivered amounts.
    • Notifying the Media Operations Manager of any discrepancies or pacing concerns.
    • Collaborating with Media Operations on subsequent steps.
    • Clearing invoices for payment once all issues are resolved and approved.
    • Preparing actualization data for the Media Operations Manager by pulling final deliveries and verifying final billables with activation teams.
    • Compiling necessary information for submission to the Media Operations Manager.

REQUIRED QUALIFICATIONS AND SKILLS

  • A minimum of 1 year of experience in media operations roles, such as ad trafficking or media buying.
  • Experience in an advertising agency environment is advantageous.
  • Familiarity with both traditional and digital media channels.
  • Proficient in Workamajig, Basecamp, and Slack is a plus.
  • Knowledge of Google products (Gmail, Sheets, Slides, Docs, etc.) is beneficial.
  • Understanding of Google Marketing tools (Ads, GA4, GTM) is a plus.
  • Experience with campaign tracking and tagging, preferably in CM360.
  • Ability to accurately reconcile and track media invoices.
  • Strong attention to detail and organizational skills.
  • Ability to prioritize tasks and manage multiple responsibilities effectively.
  • Excellent collaborative problem-solving skills.
  • Strong written and verbal communication abilities.
