General Responsibilities

The Administrative Assistant is expected to exhibit professionalism while interacting with the public, internal programs, external agencies, and various Tribal or youth organizations. This role primarily supports the Facilities Operations Department in various daily tasks, including processing check requests, scheduling and setting up conference rooms, managing mail and package deliveries, and creating access badges.

Key Duties and Responsibilities:

Administrative Assistant, I

  • Deliver exceptional customer service to all CITC staff, participants, vendors, and key stakeholders.
  • Handle phone inquiries, respond to general Facilities email inquiries, welcome guests, and direct employee and participant questions to the appropriate personnel.
  • Oversee the setup and scheduling of RCC conference rooms, ensuring they are ready for use.
  • Manage fleet vehicle reservations as needed.
  • Maintain a clean and well-stocked workspace, ensuring office equipment is functional.
  • Keep essential communication information updated in the workspace.
  • Organize, file, and maintain documents in CITC's Facilities shared drive.
  • Perform clerical tasks such as photocopying, scanning documents, and ordering office supplies.
  • Ensure reception, breakroom, and common areas are tidy and organized.
  • Submit IT Helpdesk and Facilities work requests as necessary.
  • Facilitate daily mail deliveries to CITC departments and external organizations as assigned.
  • Retrieve HR files while upholding confidentiality standards.
  • Execute additional duties as assigned.

Administrative Assistant, II

  • Exhibit a higher level of proficiency in all duties of an Administrative Assistant I.
  • Assist department staff with daily operations, clerical tasks, and special projects.
  • Timely creation of check requests, purchase requisitions, and credit card reconciliations.
  • Retrieve online utility invoices and save them in the appropriate location on the CITC shared drive.
  • Draft letters, documents, expense reports, invoices, and other correspondence as required.
  • Coordinate department meetings, events, and manage calendars.
  • Track and manage departmental resources and supplies.
  • Respond to inquiries from internal and external partners regarding departmental requests.
  • Monitor and manage dedicated facilities email addresses, responding as necessary.
  • Alert security to any issues requiring their attention.
  • Contribute to departmental safety and security by executing emergency procedures.

Administrative Assistant, III

  • Perform all duties of Administrative Assistants I and II with advanced proficiency.
  • Promote Facilities Operations programs to internal and external stakeholders.
  • Schedule events and communications for RCC Reservations.
  • Oversee the Procurement process, including creating, reviewing, and approving check requests through the AP system.

Job Specifications:

Minimum Qualifications:

Administrative Assistant, I

  • High school diploma or GED
  • Two years of experience in general business or a related field.

Administrative Assistant, II

  • High school diploma or GED
  • Four years of experience in general business or a related field.

Administrative Assistant, III

  • Associate's degree in Business Administration, Organizational Development, Human Services, or a related field. Relevant experience may substitute for education on a year-for-year basis.
  • Four years of experience in general business or a related field.

Minimum Qualifications for All Levels:

  • Demonstrated knowledge of the socio-cultural needs of the Alaska Native and American Indian community.
  • Continued employment is contingent upon satisfactory completion of state and federal background checks.

Preferred Qualifications:

  • Valid Alaska Driver's License and insurability under CITC's automotive insurance, requiring a minimum age of 21.
