Job Summary

As a Treatment Coordinator at TN Specialty Dental Services, PLLC, you will play a vital role in ensuring the smooth and successful appointments of all new patients. This position requires a high level of organization, attention to detail, and excellent communication skills.

Key Responsibilities
  • Welcoming New Patients: Greet new patients and parents with a warm smile, ensuring a positive first impression.
  • New Patient Experience: Ensure every new patient experience is enjoyable and meets our high standards.
  • Chart Review: Thoroughly review new patient charts to ensure all information is accurately entered upon scheduling.
  • New Patient Paperwork: Responsible for completing new patient paperwork, including mapping online questionnaire responses into charts while ensuring HIPAA compliance.
  • Pricing and Payment: Provide accurate and correct pricing based on treatment plan recommendations, including expected insurance amounts if previously verified.
  • Financial Planning: Work with patients to set up comfortable monthly payments that align with office guidelines.
  • Record Keeping: Maintain accurate records of contracts, fees, referrals, and other important information.
  • Schedule Management: Assist in filling the schedule as needed by communicating with Front Desk Coordinators.
  • Insurance Information: Ensure accurate charting and insurance information is entered correctly for the Insurance Coordinator to submit once contracts are signed.
  • Contract Management: Sign contracts with patients or parents before or on the banding date and have them submitted to the Insurance Coordinator by the next working day.
  • Patient Education: Answer patient questions regarding treatment and provide clear explanations.
  • Practice Management: Work with Practice Managers to ensure all contracts and documents are up-to-date, gather necessary information, and update as changes occur.
  • Team Collaboration: Attend staff meetings, front office meetings, and daily huddles, representing the practice in a positive manner both inside and outside the office.
