Position Overview:

The role involves the meticulous management of accounts payable and receivable documentation through the execution of various responsibilities:

Key Responsibilities:

  • Evaluates, categorizes, and processes all invoices, purchase orders, and payment requests promptly. Conducts reconciliations of credit card transactions across all departments.
  • Generates all accounts payable checks, ensuring timely payment of invoices. Secures authorization from the Fiscal Manager or CFO for weekly disbursements. Presents checks to the Fiscal Manager or CFO for endorsement.
  • Examines vendor accounts and addresses all inquiries related to these accounts. Collaborates with vendors to confirm the accuracy and validity of invoices and amounts due.
  • Coordinates with personnel in other departments to ensure proper coding and documentation - inputs budget modifications as sanctioned by supervisory personnel and the Fiscal Manager.
  • Provides assistance with month-end entries or grant coding as requested by the Fiscal Manager.

Additional Duties:

  • Supports the preparation for the annual audit.
  • Assists with inquiries from team members regarding items recorded in their budgets.
  • Contributes to special projects as needed.
  • Ensures the delivery of high-quality services to clients through active participation in the agency's Continuous Quality Improvement (CQI) initiatives.
  • Exhibits competence and responsiveness to the cultural diversity present among both clients and staff.
  • Performs other assigned tasks as necessary.
Requirements

Knowledge:
A degree in Accounting or equivalent experience is preferred.

Experience:
A minimum of one year of relevant experience is preferred. A willingness to learn is essential.

Skills/Physical/Working Conditions:
The position necessitates proficiency in data entry, familiarity with accounting software, word processing, and the ability to create and maintain Excel spreadsheets.
