Job Overview

The Senior Executive Support Specialist delivers extensive administrative assistance to high-level executives and their teams. This role encompasses a variety of tasks such as managing schedules, coordinating meetings, arranging travel, handling expense reports, and executing special projects as required.

Key Responsibilities:

  • Conduct administrative tasks including managing phone calls, taking messages, overseeing correspondence, and distributing emails. Handle logistics for FedEx shipments, document printing, photocopying, faxing, and assembling presentation materials.
  • Support onboarding processes for new employees, including documentation, badge issuance, and orientation activities.
  • Collaborate with corporate facilities on space planning and implementation initiatives.
  • Oversee service requests for office equipment maintenance and liaise with facilities for building-related needs. Generate requisitions for furniture, technology, and other office supplies.
  • Directly manage the resolution of facility-related issues through appropriate vendors.
  • Perform additional related duties as assigned.

Essential Qualifications:

  • High School Diploma or GED equivalent.
  • A minimum of 4 years of relevant professional experience.
  • Ability to maintain discretion and confidentiality regarding sensitive information.
  • Proficient in Microsoft Excel and Word.
  • Experience in the financial services sector, particularly in the mortgage industry, is preferred.
