Job Overview:


• This role is dedicated to acquiring goods and services requested by various programs across the state, adhering to established procurement guidelines and authority.

• Key responsibilities encompass the preparation and issuance of informal requests for goods and general services, ensuring proper documentation of received items, and managing requisitions and purchase orders through the State's e-procurement platform.

• Occasional in-state travel may be necessary for this position.

The Arizona Department of Education operates in a hybrid work model, allowing for up to two days of remote work, contingent on business requirements. Candidates should be prepared to work in-office as needed.

Job Responsibilities:


• Receive, verify, input, process, and monitor purchasing requests for designated goods and services, evaluating requests against available contracts.

• Investigate applicable Statewide contracts.

• Ensure the accuracy of National Institute of Governmental Purchasing (NIGP) codes, cost allocation, and other necessary accounting codes for purchases.

• Generate purchase orders for assigned goods and services.

• Execute small dollar purchases within delegated procurement authority, following Procurement Code and relevant policies.

• Maintain precise records within designated databases.

• Develop new reports and update existing ones as requested by management.

• Engage in vendor outreach and provide technical support to both internal and external stakeholders.

• Conduct procurements, including preparation and evaluation of informal solicitations.

• After contract award, manage contract administration tasks, including amendments and extensions.

Required Knowledge, Skills & Abilities:

Knowledge of:

• State and federal procurement regulations.

• Arizona Procurement Code.

• Basic purchasing and contract management processes.

• Accounting frameworks.

• Negotiation strategies.

Skills in:

• Exceptional customer service.

• Effective written and verbal communication.

• Proficiency in eProcurement systems.

• General office competencies.

• Problem-solving and troubleshooting.

• Intermediate proficiency in Microsoft Word, PowerPoint, and Excel.

Ability to:

• Interpret policies and procedures.

• Perform well under pressure.

• Collaborate effectively within a team.

• Communicate clearly and effectively.

Preferred Qualifications:

Preference will be given to candidates with:

• Experience in administrative roles related to purchasing, accounting, budgeting, or a similar field.

• Professional certification such as a Certified Public Purchasing Buyer (CPPB) from a recognized purchasing organization.
