Position Overview:
This role offers high-level administrative and operational assistance to Executive Leaders, Board Committees, and senior management as required.

Key Responsibilities:

  • Deliver administrative and scheduling support for multiple Executive Officers and senior management as necessary.
  • Organize, plan, and coordinate logistics for meetings, training sessions, and events, including preparing and distributing agendas, managing technology requirements, coordinating presenters, sending calendar invites, and arranging accommodations and travel.
  • Participate in meetings as needed, ensuring that key discussions, decisions, and action items are accurately recorded and followed up on.
  • Facilitate communication between executives and team members, clients, vendors, and other stakeholders, serving as a reliable point of contact.
  • Prepare and disseminate communications, including drafting, editing, and proofreading correspondence, newsletters, reports, and presentations in a timely manner.

Minimum Qualifications:

  • High school diploma or equivalent education and experience to perform essential job functions; post-secondary education is a plus.
  • A minimum of 5 years of administrative experience in an executive office setting is preferred.
  • Strong analytical skills with meticulous attention to detail.
  • Ability to actively listen and take precise notes.
  • Demonstrated discretion and sound judgment in handling sensitive situations and information.
  • Effective planning and prioritization skills.
  • Creative problem-solving abilities.
  • Excellent written and verbal communication skills, capable of engaging with all organizational levels, including the Board.
  • Ability to manage a heavy workload and adapt to changing priorities.
  • Self-starter with the ability to work independently and complete projects without extensive guidance.
  • Proficient in developing and maintaining positive interpersonal relationships.
  • Ability to establish and sustain collaborative working relationships across departments.
  • Strong computer proficiency, including MS Office applications, Diligent, Adobe Pro, and WebEx.
  • Valid driver's license.
