Position Overview:
This role offers high-level administrative and operational assistance to Executive Leaders, Board Committees, and senior management as required.
Key Responsibilities:
- Deliver administrative and scheduling support for multiple Executive Officers and senior management as necessary.
- Organize, plan, and coordinate logistics for meetings, training sessions, and events, including preparing and distributing agendas, managing technology requirements, coordinating presenters, sending calendar invites, and arranging accommodations and travel.
- Participate in meetings as needed, ensuring that key discussions, decisions, and action items are accurately recorded and followed up on.
- Facilitate communication between executives and team members, clients, vendors, and other stakeholders, serving as a reliable point of contact.
- Prepare and disseminate communications, including drafting, editing, and proofreading correspondence, newsletters, reports, and presentations in a timely manner.
Minimum Qualifications:
- High school diploma or equivalent education and experience to perform essential job functions; post-secondary education is a plus.
- A minimum of 5 years of administrative experience in an executive office setting is preferred.
- Strong analytical skills with meticulous attention to detail.
- Ability to actively listen and take precise notes.
- Demonstrated discretion and sound judgment in handling sensitive situations and information.
- Effective planning and prioritization skills.
- Creative problem-solving abilities.
- Excellent written and verbal communication skills, capable of engaging with all organizational levels, including the Board.
- Ability to manage a heavy workload and adapt to changing priorities.
- Self-starter with the ability to work independently and complete projects without extensive guidance.
- Proficient in developing and maintaining positive interpersonal relationships.
- Ability to establish and sustain collaborative working relationships across departments.
- Strong computer proficiency, including MS Office applications, Diligent, Adobe Pro, and WebEx.
- Valid driver's license.
