Job Summary

We are seeking a highly skilled and detail-oriented Medical Office Coordinator to join our dynamic team at Extended Care Medical. As a key member of our front desk team, you will be responsible for providing exceptional patient care and ensuring the smooth operation of our medical practice.

Key Responsibilities:

  • Patient Reception & Check-In/Out:
    • Welcoming patients and visitors with a professional attitude.
    • Managing patient check-in and check-out processes, including verifying insurance information and collecting copays.
    • Providing patients with necessary forms and ensuring they are completed accurately.
  • Appointment Scheduling & Coordination:
    • Scheduling and confirming patient appointments, following office protocols for appointment types and scheduling constraints.
    • Communicating with patients regarding appointment reminders, rescheduling, and follow-up visits.
    • Coordinating with clinical staff to optimize patient flow and minimize wait times.
  • Communication & Customer Service:
    • Answering incoming phone calls, responding to inquiries, and directing calls to appropriate departments.
    • Handling patient concerns and complaints with professionalism, escalating to the Office Manager when necessary.
    • Providing patients with information about services, procedures, and office policies.
  • Administrative Duties:
    • Maintaining and updating patient records in the electronic medical records (EMR) system.
    • Processing patient referrals and authorizations as needed.
    • Assisting with billing and insurance-related tasks, including verifying patient insurance and explaining billing processes.
  • Office Support:
    • Keeping the front desk area organized and stocked with necessary supplies.
    • Assisting with other administrative tasks as needed, including filing, faxing, and scanning documents.
    • Collaborating with team members to maintain a clean, safe, and welcoming environment for patients and staff.

Requirements:

  • Education: High School Diploma or equivalent required
  • Experience: 1-2 years of experience in a office or healthcare setting preferred
  • Skills: Strong customer service and communication skills, ability to multitask and handle a fast-paced environment, proficient in Microsoft Office Suite and basic office equipment
