Role Overview:

We are seeking a dedicated individual for the position of Contract Administrator. This full-time role is integral to our operations, focusing on the procurement and administration of materials for various landscaping projects.

Key Responsibilities:

  • Act as the primary administrator for all landscaping, maintenance, and irrigation projects.
  • Coordinate with Project Managers and Foremen to ensure timely delivery of all necessary materials and supplies.
  • Prepare and manage purchase orders for the landscaping and maintenance departments.
  • Conduct reconciliations on purchase orders, invoices, and estimates to ensure accuracy.
  • Verify completeness of packing slips and receipts.
  • Compile project documentation and maintain organized project books.
  • Process invoices related to job expenses and facilitate payments to vendors.
  • Engage with vendors to gather information on products, pricing, and delivery schedules.
  • Collaborate with the Operations Manager to assess project needs and review bid proposals.
  • Maintain accurate procurement records, including costs and product performance.
  • Assist the Facilities Manager in managing DOT files for employees and fleet.
  • Support other duties as assigned.

Qualifications:

Education: High School diploma or equivalent is required.

Experience: A minimum of 1 year of relevant work experience is necessary.

Specialized Skills:

  • Exceptional attention to detail.
  • Strong communication and interpersonal skills.
  • Customer service-oriented mindset.
  • Ability to work collaboratively within a team.
  • Proficiency in Microsoft Office, particularly Excel and Google Sheets.
  • Must pass a pre-employment drug screening.
  • A valid driver's license with a clean driving record is required.
  • Excellent organizational and multitasking abilities.

This position does not include supervisory responsibilities.
