Executive Assistant to Chief Global Corporate Affairs

About the Role:
As an Executive Assistant to the Chief Global Corporate Affairs & Sustainability Officer, you will provide comprehensive administrative support to the executive, ensuring seamless execution of daily tasks and strategic initiatives. Your expertise will be instrumental in managing the executive's calendar, scheduling meetings, and arranging travel.
Key Responsibilities:
- Manage the executive's calendar, scheduling meetings, calls, and other interactions based on priorities.
- Arrange travel, complete expense reports, and ensure timely submission.
- Develop a strong network across departments, drawing on it to answer questions and successfully accomplish responsibilities.
- Initiate, develop, lead, and participate in improvement processes, actively contributing to resulting process improvements.
- Research solutions and respond to inquiries with minimal input from the direct supervisor.
- Interface and communicate with internal and external customers, directing people to appropriate resources.
- Schedule staff meetings, arrange meeting space or virtual tools, and develop agendas to ensure participants are prepared.
- Track and update budget forecasts, prepare reports summarizing budget status, and prepare documentation for payment of vendors, consultants, and suppliers.
- Collect, review, analyze, interpret, enter, and format accurate data into intranet, spreadsheets, databases, and other electronic tools.
- Manage specialty documents and correspondence, including letters, reports, emails, presentations, memos, faxes, etc.
Requirements:
- High school diploma/GED required; Associates degree or Bachelor's degree preferred.
- Minimum 10 years of relevant work experience, or equivalent combination of training and experience.
- Japanese language skill is a plus but not required.
- Strong PC literacy with advanced skills in Microsoft Outlook, Word, Excel, or PowerPoint.
- Excellent verbal and written communication skills.
