Job Description:
As an Administrative Manager, you will be pivotal in facilitating the seamless execution of our daily operations. Your responsibilities will encompass a wide range of administrative functions, particularly emphasizing PEO management, payroll processing, benefits administration, client onboarding, and invoicing. The ideal candidate will exhibit exceptional organizational capabilities, meticulous attention to detail, and the ability to operate autonomously in a dynamic environment.
Key Responsibilities:
- PEO Management:
- Collaborate with the Professional Employer Organization (PEO) to oversee employee-related administrative duties.
- Ensure adherence to PEO standards and protocols.
- Act as the primary contact for PEO-related inquiries and communications.
- Payroll:
- Assist in the preparation and execution of payroll on a bi-weekly schedule.
- Guarantee accurate documentation of employee hours, deductions, and payroll-related data.
- Work alongside the Finance team to address payroll discrepancies and inquiries.
- Benefits & Deductions:
- Manage employee benefits programs, including health insurance and retirement plans.
- Oversee employee deductions and ensure compliance with relevant regulations.
- Serve as a liaison between employees and benefits providers to resolve questions and concerns.
- Employee Onboarding & Offboarding:
- Facilitate the administration of onboarding documents for full-time employees and contractors.
- Client Onboarding & Offboarding:
- Support the onboarding and offboarding processes for new clients, ensuring a smooth transition.
- Prepare and distribute necessary documentation and materials for new clients.
- Maintain accurate records of client information and onboarding progress.
- Client Invoicing:
- Generate and issue client invoices promptly, ensuring accuracy and compliance with agreements.
- Follow up on outstanding invoices and assist with collections as necessary.
- Collaborate with the finance team to uphold precise financial records and reporting.
Qualifications:
- Bachelor's degree in Business Administration, Management, or a related field is preferred.
- 2+ years of experience in an administrative or operational capacity, ideally within a corporate setting.
- Strong knowledge of payroll systems and benefits administration.
- Proficient in Google Suite and familiar with accounting software.
- Excellent organizational skills and meticulous attention to detail.
- Strong written and verbal communication abilities.
- Capability to work independently and manage multiple tasks effectively.
- Prior experience with client onboarding and invoicing is advantageous.
