Job Title: Office Manager

The Cathedral of Mary Our Queen is a vibrant parish in the heart of Baltimore City, serving approximately 1,300 registered families. As the Office Manager, you will play a critical role in supporting the Parish Leadership, including the Rector, Associate Pastor, and Pastoral Associate. Your primary responsibilities will include overseeing all office operations, scheduling campus events and spaces, and completing Archdiocesan reports.

Key Responsibilities:
  • Manage the day-to-day operations of the parish office, ensuring a smooth and efficient workflow.
  • Support the Rector and Pastoral Associate in administrative duties, including correspondence, reports, and data entry.
  • Maintain the facilities calendar, scheduling events, meetings, liturgies, and other activities.
  • Serve as the primary point of contact for internal and external requests for meeting spaces and facilities usage.
  • Collaborate with Facilities Staff to plan and coordinate facility space setups and equipment needs.
  • Ensure timely completion of Archdiocesan reports, including the Annual Consolidated Report and CYP Audit.
  • Act as the parish VIRTUS Coordinator, ensuring compliance with Office of Child & Youth Protection policies and procedures.
  • Work with the Sacramental / Ministries Coordinator to schedule weddings, baptisms, and funerals.
  • Manage the parish petty cash fund and collaborate with the Pastoral Associate to ensure completion of the weekly Parish bulletin.
  • Assist the Pastoral Associate in recruiting, training, directing, and supervising volunteers and office staff as needed.
Requirements:
  • High school graduate or equivalent.
  • Experience in office management, including management of support staff, preferred.
  • Excellent verbal and written communication skills.
  • Ability to prioritize and organize work effectively and efficiently.
  • Proficiency in Microsoft Suite programs, including Word, Excel, and PowerPoint.
  • Ability to enter and update data in Ministry Platform and maintain sacramental records.
