Job Description

At PCI Pharma Services, we are committed to delivering life-changing therapies to patients around the world. As a Distribution Services Admin, you will play a critical role in ensuring the smooth operation of our global distribution network.

Key Responsibilities
  • Process shipment requests from external or internal sources, ensuring all necessary paperwork is completed and provided to the warehouse team.
  • Maintain and process international paperwork associated with clinical distribution sales orders.
  • Collaborate with the IVRS or other external personnel to ensure proper receipt of requests and accurate information for processing shipments.
  • Follow up on delivery confirmation of shipments via the selected courier.
  • Manage temperature monitoring devices and communicate with the distribution project manager and warehouse team as needed.
  • Prepare monthly shipping reports and metrics as requested.
  • Set up customer addresses for site shipments and support the Distribution Project Manager or Distribution Services Manager with project requirements.
  • Ensure all international paperwork is included with the order sent to the floor for proper shipment of materials.
  • Manage proforma invoice templates and the clinical bulk shipment log.
  • Schedule pick-up of international shipments with the selected courier and liaise with external personnel to obtain authorization for dispatch and confirmation of import permission.
  • Follow up on delivery confirmation of international shipments via the selected courier.
  • Prepare monthly metrics as requested and assist with the preparation of monthly customer billing and invoicing.
Requirements
  • Associate's Degree in a related field and/or 1-3 years related experience and/or training.
  • Basic Mathematical Skills.
  • Basic Computer Skills: Ability to perform basic computer tasks and operate common computer programs.
  • Minimum Professional Proficiency: Ability to speak in a way that allows one to participate effectively in various conversations. Ability to read various types of standard items addressed to general readers.
  • Intermediate Reasoning: Ability to apply common sense understanding to carry out instructions that may be furnished in written, oral, or diagram form. Ability to deal with problems that involve several concrete variables in standardized situations.

  • Ability to identify and resolve problems in a timely manner.
  • Ability to exhibit sound and accurate judgment.
  • Ability to demonstrate attention to detail.
