About the Role

We are seeking a highly organized and detail-oriented Document Control Specialist to join our team at Ampirical Solutions. As a key member of our project team, you will be responsible for ensuring the accurate management of vital project data, acting as a cornerstone of our project success.

Key Responsibilities
  • Implement and maintain document control procedures to ensure project teams adhere to company standards and document numbering schemes.
  • Assist in the development, training, and implementation of document control standards tailored to both Ampirical and client needs.
  • Provide guidance and clarification on document management processes to internal teams.
  • Conduct quality control checks on project-related documents to ensure compliance with project guidelines before distribution.
  • Prepare and manage transmittals for project documents, using project distribution matrices.
  • Maintain project databases, folders, and libraries, ensuring integrity in the Master Document Repository.
  • Track supplier approval drawings throughout the design and procurement phases.
  • Provide technical assistance with data import/export processes across platforms (e.g., SharePoint, ShareFile, Procore, Fusion).
  • Support data storage site maintenance and manage user security rights as needed.
Requirements
  • Associate's Degree in Business Administration, Paralegal Studies, or a related field preferred (but not required).
  • Experience in engineering or construction project administration (preferably within the energy sector).
  • Strong understanding of document content and ability to assign correct control numbers.
  • Exceptional organizational skills to meet deadlines and prioritize requests independently.
  • Excellent interpersonal and communication skills, comfortable collaborating across teams.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, and SharePoint).
  • Microsoft Office Specialist Certification preferred but not required.
  • Experience with Bluebeam Revu or similar PDF editing software.
  • Ability to handle multiple tasks while maintaining attention to detail and quality standards.
