JOB PURPOSE:

The Hoover Institution is seeking a highly qualified and driven Financial Systems and Business Operations Manager to spearhead the implementation and integration of innovative systems, enhanced processes, and manage organizational transitions within and beyond the finance team. This position is essential for promoting efficiency, refining financial and operational workflows, and ensuring the successful adoption of new technologies and methodologies for finance throughout the organization. The ideal candidate will be a proven leader, influencer, and strong collaborator with familiarity with Stanford's systems and processes, including month-end and year-end close processes, Oracle Financials, OBI, and other ERP systems. Reporting to the CFO of the Hoover Institution, the Financial Systems and Business Operations Manager will oversee the following key responsibilities:

CORE DUTIES:

  • Systems Implementation: Utilize Stanford ERP to lead the implementation of a comprehensive and effective Chart of Accounts as the foundational data structure to streamline revenue and expense tracking at the Hoover Institution.
  • Collaboration: Partner with Financial Management Services, University Budget Office, and other central offices at Stanford.
  • Change Management: Design and execute change management strategies to ensure seamless transitions to new systems and processes. Engage with stakeholders at all levels to facilitate buy-in, training, and ongoing support.
  • Data Analysis and Reporting: Employ data analytics to monitor KPIs related to systems and processes, empowering key business partners through feedback provided via key reports.
  • Updates to Management: Provide regular updates to senior management on key metrics, project progress, and areas for further optimization with the ultimate goal of maximizing organizational excellence.
  • Training and Support: Develop training programs and materials to ensure staff and Hoover Fellows have the financial tools and resources necessary to be effective financial stewards while minimizing administrative burdens. Implement a model for client support and troubleshooting to ensure long-term success.
  • Leadership: Direct staff and provide leadership to achieve the organization's goals and vision, as well as manage day-to-day operations. Responsible for hiring and retaining staff, career coaching, professional development, and accountability for employee performance.
  • Human Resources Guidance: May independently or in collaboration with human resources managers, guide supervisors in interpreting and implementing human resources policies, procedures, and programs.
  • Strategic Planning: Develop and implement strategic plans for managed functional areas; provide strategy, vision, and direction. Make decisions that establish objectives for the overall direction or operation of a significant organization. Influence leadership on specific recommendations for current operations and future development. May develop multi-year business plans and oversee resource allocation.
  • Compliance: Interpret, implement, and ensure compliance with regulations, policies, and procedures. Recommend and/or formulate internal administrative policies, guidelines, and procedures. Direct process improvement for the organization or program.
  • Representation: Represent the organization's business operations and administrative affairs within the organization and/or to external constituencies.

MINIMUM REQUIREMENTS:

Education & Experience:

Bachelor's degree and five years of relevant experience in administrative and financial management, or a combination of education and relevant experience.

  • Demonstrated leadership and supervisory skills, including conflict resolution.
  • Excellent planning and organizational skills.
  • Exceptional oral and written communication skills.
  • Strong financial expertise in budget planning and financial forecasting.

The expected pay range for this position is $112,000-$185,000 per annum.

Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location, and external market pay for comparable jobs.
