About the Role: The Executive Support Associate will be responsible for overseeing office operations, providing excellent customer service, and handling incoming/outgoing correspondence. This role requires a high degree of organizational skills, attention to detail, and the ability to work independently and collaboratively with a diverse group of students, faculty, and staff.

Key Responsibilities:

  • Administrative Support: Provide administrative support to the team, including scheduling appointments, preparing meeting materials, and maintaining calendars.
  • Customer Service: Offer exceptional customer service to students, faculty, and staff, responding to inquiries and resolving issues in a timely and professional manner.
  • Correspondence: Handle incoming and outgoing correspondence, including emails, letters, and other written communications.
  • Travel Coordination: Coordinate travel arrangements, including booking flights, hotels, and rental cars, as needed.
  • Event Planning: Assist with planning and coordinating events, meetings, and conferences, including venue selection, catering, and logistics.
  • Communication: Develop and disseminate communication materials, such as newsletters, flyers, and social media posts, to promote departmental initiatives and events.
  • Reporting: Prepare and submit reports on various matters, including budgetary information, personnel data, and operational statistics.
  • Software Proficiency: Maintain proficiency in various software applications, including Microsoft Office, Google Suite, and other tools relevant to the position.

Requirements:

  • Education: High school diploma or equivalent required; associate's degree or higher preferred.
  • Experience: Three years of experience providing administrative support in a fast-paced environment.
  • Skills: Strong communication and interpersonal skills; proficiency in Microsoft Office and Google Suite; ability to multitask and prioritize tasks effectively.
