Job Summary

We are seeking a highly skilled and experienced Community Association Manager to join our team at Associa. As a key member of our community management team, you will be responsible for overseeing the day-to-day operations of our communities, ensuring that our residents receive exceptional service and that our communities are well-managed.

Key Responsibilities
  • Manage the monthly manager's report and agenda for the Board meetings, ensuring that all necessary information is included and distributed to the Board at least 48 hours prior to the meeting.
  • Work off and manage the monthly Action Item list, ensuring that all tasks are completed in a timely and efficient manner.
  • Handle all owner and resident requests for common element or association services, providing prompt and courteous service to our residents.
  • Inspect property for services needed, prepare work lists and schedule repairs with contractors and/or maintenance staff, ensuring that all work is completed to a high standard.
  • Maintain the maintenance work order system and tracking, ensuring that all work orders are completed and closed in a timely manner.
  • Inspect property for covenant/declaration violations, prepare and send written notification of violations to homeowners, ensuring that all necessary steps are taken to resolve any issues.
  • Evaluate work performed by contractors per specified agreements, ensuring that all work is completed to a high standard.
  • Attend all Board of Directors' meetings and attend all hearings of the Board of Directors, providing updates and information as required.
  • Code and approve all bills, ensuring that all necessary payments are made in a timely manner.
  • Manage the contractor and visitor check-in book and community room rental forms, ensuring that all processes are followed by all staff members.
  • Supervise or manage the amenities reservations and move in and outs from the building, ensuring that all necessary procedures are followed.
  • Maintain on-site association administrative files, ensuring that all necessary documents are up-to-date and easily accessible.
  • Coordinate mailings and notice distribution when needed, ensuring that all necessary information is communicated to our residents.
  • Be knowledgeable about governing documents and Board policies and procedures, ensuring that all necessary information is available to our residents.
  • Perform other administrative and management duties as requested by the managing agent and/or the Board of Directors, ensuring that all necessary tasks are completed in a timely and efficient manner.
  • Communicate orally and in writing with owners, residents, volunteer leaders, and contractors, providing prompt and courteous service to our residents.
  • Maintain a positive, cordial, business-like relationship with owners, residents, and contractors, ensuring that all necessary interactions are professional and courteous.
  • Evaluate contractors' work against agreed-upon standards, ensuring that all work is completed to a high standard.
  • Read and report on Association financials, including understanding various financial reports such as the balance sheet, income statement, budget, and delinquency reports.
  • Serve as liaison to the Board of Directors and the Community's Attorney, ensuring that all necessary information is communicated and that all necessary steps are taken to resolve any issues.
  • Prepare the draft budget annually, ensuring that all necessary information is included and that the budget is completed in a timely manner.
  • Inspect property for maintenance and schedule repairs weekly, ensuring that all necessary work is completed in a timely and efficient manner.
  • Work independently with little to no supervision when necessary, ensuring that all necessary tasks are completed in a timely and efficient manner.
  • Work cooperatively and manage association staff members (concierge, tennis pro, maintenance personnel, etc.), ensuring that all necessary tasks are completed in a timely and efficient manner.
Requirements
  • Community Association Managers must be licensed under the Georgia Real Estate Commission (Commission) in order to function as a community association manager in the state.
  • 5 years of experience in Association Management is required.
  • Driver's License - Driving Record must be clean.
