Caregiver Scheduling Manager Job Description

Company Overview: Hearts At Peace Home Care is a leading provider of home care services, dedicated to delivering high-quality care and support to our clients. We are seeking a skilled Caregiver Scheduling Manager to join our team and help us achieve our mission.

Job Summary: The Caregiver Scheduling Manager will be responsible for managing and coordinating the schedules of caregivers and clients, ensuring seamless delivery of care services. This role requires strong organizational and communication skills, with the ability to work effectively in a fast-paced environment.

Responsibilities:

  1. Schedule Coordination: Develop and maintain daily, weekly, and monthly schedules for caregivers and clients.
  2. Caregiver and Client Communication: Act as the primary point of contact for caregivers and clients regarding scheduling inquiries, confirm caregiver assignments, and communicate schedule changes promptly and effectively.
  3. Administrative Duties: Maintain accurate and up-to-date records of caregiver availability, client preferences, and schedule changes, process and track timecards, and ensure accuracy in payroll submissions.
  4. Compliance and Quality Assurance: Ensure that all scheduling practices comply with agency policies and state regulations, monitor caregiver performance and client satisfaction, and address and resolve any issues or complaints related to scheduling.
  5. System Management: Utilize scheduling software and tools to manage and optimize caregiver and client schedules, generate and review reports related to scheduling, staffing, and client needs.
  6. Emergency Response: Manage and respond to urgent scheduling needs, implement contingency plans to address unexpected changes in the schedule, and be on-call one week per month to address emergencies after hours.

Required Skills and Qualifications:

  • High school diploma or equivalent required; degree in a related field preferred.
  • At least 1 year of experience in scheduling or a related field.
  • Excellent communication and problem-solving skills.
  • Ability to work independently and as part of a team.
  • Proficient in using scheduling software and tools.
