Customer Service Representative Job Description

FYZICAL Therapy and Balance Centers is seeking a highly skilled and compassionate Customer Service Representative to join our team. As a key member of our front office staff, you will be responsible for providing exceptional patient care and ensuring a seamless experience for our clients.

Responsibilities:
  • Manage patient scheduling and appointments, including multi-phone line handling
  • Collect and maintain patient data, including referrals and new patient information
  • Communicate with patients and physicians, acting as a liaison between the two
  • Process and track reports, including sending and logging reports to doctors
  • Handle patient payments and insurance verification
  • Manage mail and distribute it to the appropriate areas or personnel
  • Coordinate scheduling and communication with patients and clinicians
  • Answer phones and respond to patient inquiries
  • Schedule patients and coordinate evaluations, re-evaluations, and appointment reminders
  • Collect new patient intake information and track clinic referrals
  • Fax reports to physicians and maintain a log of incoming reports
  • Verify insurance coverage and track visits, collecting copayments as needed
  • Monitor mail and track Explanation of Benefits sent from mail and fax to the billing company
  • Communicate with the office manager and clinicians regarding scheduling and patient arrival
Requirements:
  • High school diploma or equivalent
  • Valid driver's license and reliable transportation
  • Excellent communication and multitasking skills, with attention to detail
  • Positive attitude, strong work ethic, and empathy for patients in pain
