About the Role

We are seeking a highly skilled and detail-oriented Client Service Specialist to join our team at Petersen Hastings Wealth Advisors. As a key member of our internal team, you will be responsible for providing exceptional client service and support to our clients, guests, and team members.

Key Responsibilities
  • Proactively communicate with clients through verbal and written correspondence.
  • Deliver superior operational support, including troubleshooting problems, scheduling meetings, and serving as a liaison between the team and client as needed.
  • Manage client information, prepare client reports, submit and follow up on necessary paperwork, and regularly update the database.
  • Assist clients with inquiries and requests, or redirect as appropriate.
  • Prepare account paperwork for opening new accounts and/or annuities, terminated accounts and/or account transfers.
  • Facilitate completion of all client applications and transfer documents.
  • Conduct client paperwork signing meetings with clients.
  • Work within a defined system where client contact is made on a scheduled, proactive basis.
  • Maintain the daily calendar and schedule of assigned team members.
  • Manage client contacts and provide appropriate follow-up in partnership with the Associate Advisor(s).
  • Compose and generate correspondence and client documents, including spreadsheets and reports.
  • Develop and maintain client relation management procedures and documentation.
  • Support Client Relationship Management (CRM) and Portfolio Management System (PMS) projects.
Requirements
  • High school diploma required.
  • Minimum of 2 years of related experience in an administrative support role in the financial services industry.
  • Spirit to serve, detailed, flexible, proactive, reliable, and genuine concern for client satisfaction.
  • Excellent follow-through and communication to team members regarding the status of open items.
  • Ability to handle multiple requests simultaneously and respond quickly.
  • Personal and Interpersonal skills, including a commitment to strong values and upholding the highest ethical standards.
  • Ability to project a professional image of oneself and Petersen Hastings to clients, prospects, and other third parties.
  • Work well under pressure and willing to contribute to the wider strategic goals of the organization.
  • Capable of developing partnerships with internal departments and external organizations with clarity, flexibility, and collaboration.
