The Facilities and Grounds Operations Coordinator plays a crucial role in supporting the Director of Facilities and Grounds in various administrative functions.
Key Responsibilities:
- Provide essential administrative assistance to the Director of Facilities and Grounds.
- Draft and prepare necessary correspondence, reports, and documentation under the director's supervision.
- Manage communications, including emails and phone inquiries that do not require immediate director intervention.
- Support the recruitment and onboarding processes for facilities personnel.
- Assist in overseeing maintenance, custodial, and groundskeeping teams.
- Facilitate communication between different buildings, departments, and staff to coordinate maintenance and service requests.
- Prioritize and manage work order requests efficiently.
- Oversee daily and weekly scheduling, including absences and overtime for custodial and maintenance staff, while approving timesheets and leave requests.
- Coordinate district events and athletic activities, process facility rental requests, and ensure timely invoicing.
- Collaborate closely with coaches and athletic directors to prepare athletic fields for events.
- Assist in the setup and breakdown of meetings and workshops.
- Supervise access and security protocols for all district facilities, including scheduling automated door unlocks for events.
- Act as a liaison between community programming and the school district.
- Manage the distribution and collection of access devices, including staff FOBs and keys.
- Support Human Resources in the onboarding of new personnel.
- Verify and approve drivers for district vehicles.
- Order and manage inventory for cleaning supplies and custodial uniforms.
- Process purchase orders and invoices for departmental needs.
- Update safety documentation annually.
- Collaborate with the Director to revise Facilities & Grounds handbooks and custodial routes.
- Participate as a member of the District Safety Committee.
Physical Requirements: Must be capable of lifting up to 30 lbs and performing physical tasks as necessary.
This position also serves as a backup for the Director of Facilities and Grounds during emergencies.
