We are seeking a highly skilled Document Control Specialist to join our team. As a key member of our project team, you will be responsible for coordinating, maintaining, coding, filing, and distributing all project-related documentation and records.

Key Responsibilities:

  • Manage and maintain a comprehensive document control system to ensure accuracy and compliance with company policies and procedures.
  • Coordinate with clients and other third parties to resolve document control issues and obtain final approval of executed works.
  • Contribute to the development of a workable document management system that satisfies contract, procurement, and construction requirements.
  • Manage all contracts related to document control management, if applicable.
  • Identify document control risks and participate in the preparation of risk reports, if required.
  • Provide input in the review of project budget forecasts, providing the necessary technical information for its realization.
  • Establish and implement the document management strategy and other technical procedures for the project.
  • Support in the execution stage.
  • Guarantee an adequate organizational structure in document management, as well as its interface with other departments.
  • Advise/participate in the formalization of contracts with software companies.
  • Guarantee the correct transmission of design, construction, and commercial information to the entire project team.
  • Perform all other duties and responsibilities as assigned.

Requirements:

  • Bachelor's degree in business administration, business management, construction management, or related field of study.
  • 5+ years of proven experience in document control and working with routine document control hardware and software.
  • Experience working with RIB CS, ACONEX, Project Wise, or THINKPROJECT is preferred.
  • Ability to effectively communicate in a positive and professional manner through written and verbal communications.
  • Ability to use appropriate computer programs, including Microsoft Office Suite and project management software.
  • Ability to work as a team member and exert initiative to work independently to reach a goal.
  • Ability to function effectively as a team player and collaborator.
  • Ability to work a flexible work schedule, including overtime, as needed, to best serve the business operations.
