The ideal candidate will have a strong background in administrative support, with a focus on providing exceptional organizational and communication skills. The successful candidate will be responsible for managing the MD's calendar, coordinating schedules, and facilitating meetings.
Key Responsibilities:
- Manage the MD's Outlook calendar and prioritize tasks based on urgency and importance
- Coordinate schedules with internal and external parties, including meeting details and invitations
- Set up meetings and facilitate necessary actions following meetings
- Ensure meeting materials are provided in advance, whenever possible
- Plan and coordinate travel for the MD, including commercial airfare, hotels, transportation, meals, and meetings
- Complete expense reports and manage receipts and other housekeeping filings as necessary
Requirements:
- At least 5 years of experience as an Administrative Assistant, Personal Assistant, or similar role
- Experience with project management software such as Asana, Smartsheet, or Salesforce is strongly preferred
- Exceptional organizational and written communication skills, with a focus on attention to detail
- Ability to work in a fast-paced environment under strict deadlines, with a strong work ethic and team player mentality
- Strong technology skills, with proficiency in Microsoft Office, particularly Outlook, Word, and Excel
Compensation Structure:
- Base salary will be commensurate with experience
- Bonus opportunity will be tied to effectiveness, with the amount of opportunity depending on value added to the firm and firm profitability
