Work Schedule: Monday to Friday, 7:30 am to 4:00 pm.

Key Responsibilities:

  • Verify and authorize patient insurance coverage and eligibility using our advanced patient registration and scheduling systems. Update and maintain patient demographic and insurance information while managing co-payments and outstanding balances.
  • Maintain accurate records and perform daily cash deposits as assigned.
  • Handle patient inquiries via telephone, providing information on procedures and policies, and directing calls to the appropriate personnel.
  • Assess urgent patient needs and coordinate with healthcare providers as necessary.
  • Address patient questions regarding appointment scheduling and billing issues, including prescription refill requests and appointment rescheduling.
  • Document relevant patient information in our systems, prepare patient charts, and ensure all necessary documentation is complete for appointments.
  • Manage the Telephone Message System (TMS), ensuring timely follow-up on requests and appropriate message distribution.
  • Process new referrals and ensure compliance with managed care requirements.
  • Educate patients about managed care plans and the referral process, addressing any questions or concerns.
  • Collaborate with primary care and specialty practices to facilitate timely processing of referrals.
  • Communicate with staff and patients regarding denied referrals and assist in developing alternative care plans as needed.
  • Organize and maintain patient schedules, coordinating visits and medical procedures for both inpatient and outpatient services.
  • Notify relevant parties of scheduling changes, including new appointments, cancellations, and emergencies.
  • Maintain recall lists and engage with patients as necessary.
  • May assist nursing staff with laboratory results and diagnostic studies; responsible for mailing test results.
  • May escort patients to examination rooms and handle various administrative tasks as required.
  • Provide guidance to team members on administrative policies and procedures.
  • Adhere to health and safety regulations and comply with all relevant regulatory standards.
  • Participate in professional development opportunities through educational programs and seminars.
  • Attend meetings and conferences as required.
  • Demonstrate regular and reliable attendance.
  • Perform additional related duties as assigned.

Required Qualifications:
  • High School Diploma/GED (or higher)
Preferred Qualifications:
  • Specialized training in medical secretarial or medical office procedures
  • Exceptional customer service skills with the ability to manage multiple tasks and resolve patient concerns efficiently
  • Strong communication, interpersonal, and organizational abilities
  • Proficiency in software applications such as Microsoft Word, Outlook, and Excel
