Job Overview

The IT Supply Chain Coordinator will play a crucial role in managing the procurement operations for the IT division, ensuring the effective handling of monthly billing, overseeing subscription agreements, and acquiring essential IT resources. This position involves providing comprehensive administrative assistance to the IT team to facilitate seamless workflows and adherence to company policies.

Key Responsibilities

  • Invoice Management:
    • Examine, validate, and process monthly IT invoices.
    • Collaborate with the finance department to guarantee prompt payments.
    • Keep precise records of all invoices and transactions.
  • Contract Oversight:
    • Administer monthly and yearly subscription agreements for IT services and software.
    • Oversee monthly telecom assessments and confirmations.
    • Ensure timely contract renewals and negotiate terms with suppliers.
    • Maintain a comprehensive database of all contracts and monitor their progress.
  • IT Equipment Procurement:
    • Identify and assess vendors for IT products and services.
    • Negotiate pricing and conditions with suppliers to secure cost-effective purchases.
    • Place orders and monitor delivery to ensure prompt arrival of resources.
  • Administrative Assistance:
    • Support budget planning and tracking for the IT division.
    • Maintain inventory records of IT assets and software licenses.
    • Assist IT personnel with administrative duties as required.
  • Compliance and Record Keeping:
    • Ensure all procurement activities align with company policies and procedures.
    • Maintain thorough documentation of procurement processes and decisions.
    • Generate regular reports on procurement activities and financial outlays.

Qualifications

  • Bachelor's degree in Business Administration, Information Technology, or a related discipline.
  • Demonstrated experience in procurement, ideally within an IT context.
  • Strong knowledge of IT equipment and software procurement methodologies.
  • Exceptional negotiation, communication, and interpersonal abilities.
  • Proficient in Microsoft Office suite and procurement management software.
  • Excellent organizational and time management capabilities.
  • Ability to work autonomously and collaboratively within a team.

Preferred Skills:

  • Certification in procurement or supply chain management (e.g., CPSM, CSCP).
  • Experience in contract management and vendor relationship oversight.
  • Familiarity with IT asset management tools.
