Key Responsibilities:
- Greet and acknowledge patients promptly, ensuring smooth communication with Medical Assistants and Providers regarding patient arrivals.
- Handle incoming calls efficiently, providing accurate information and relaying messages as necessary.
- Guide patients in completing medical history and other necessary forms, making corrections to patient accounts as required.
- Collect and verify complete demographic and insurance information, ensuring all necessary documents are accurately completed and signed.
- Identify and collect co-payments, co-insurances, and outstanding balances from patients.
- Clarify financial obligations to patients, directing complex inquiries to the Billing Department.
- Assess patient financial situations and establish payment plans as needed.
- Conduct insurance and benefits verification, notifying relevant parties of any coverage issues.
- Input new or updated patient information into the Electronic Medical Records (EMR) system.
- Schedule follow-up appointments and communicate any authorization or referral requirements to patients.
- Document all record requests and adhere to HIPAA regulations regarding patient information confidentiality.
- Maintain communication with patients in the waiting area regarding any delays.
- Prepare patient charts for the next day’s appointments according to the practice schedule.
- Manage a secure cash drawer, ensuring daily balances and accurate closing procedures.
- Uphold patient confidentiality and protect personal and financial information in compliance with HIPAA standards.
- Keep the front office workspace organized and clean.
Qualifications:
- High school diploma or GED, or equivalent experience preferred.
- 1-2 years of experience in patient registration or front office roles within a healthcare environment.
- Familiarity with insurance regulations, medical terminology, and scheduling software; experience with EMR systems is highly desirable.
- Strong communication skills to effectively interact with physicians, staff, patients, and the public.
- Prior experience in financial collections is advantageous.
- Understanding of insurance eligibility and referral processes.
- Exceptional customer service skills.
