Job Title: Director of Operations

PROMESA R.H.C.F. is seeking a highly skilled and experienced Director of Operations to join our team. The successful candidate will be responsible for managing the administrative, office, graphic design, and grant writing functions of the organization.

Key Responsibilities:
  • Provide administrative support to the Regional Director, including drafting correspondence, reports, and memoranda.
  • Maintain an updated and current appointment calendar, receive and screen telephone calls, mail, and visitors.
  • Support the Director in maintaining organized and timely responses to daily activities.
  • Coordinate all staff involved in overseeing grants, track project deadlines, and complete periodic and final reports.
  • Assist in the preparation of regularly scheduled reports.
  • Develop and conduct surveys to determine community needs and suggest areas for new funding-specific programs.
  • Guide and facilitate the research and development of grant proposals.
  • Analyze and evaluate contract and grant proposal requirements to ensure compliance.
  • Coordinate with relevant departments to collect and organize required grant and contract documentation.
  • Prepare all check requests for expenses and prepare expense reports.
  • Act as directed by the Director's office in providing support and communication between the office and other departments within the Network and with outside partners and community.
  • Provide assistance to the Director and Executive Team on special assigned projects.
  • Accept and perform temporary or long-term assignments to various departments within the facility as required by the Director and Executive Team.
  • Ensure administrative functions are carried out promptly for an efficient operation.
  • Prioritize assignments and complete duties in a timely manner, conducting follow-up as necessary.
  • Develop and maintain a filing system.
  • Scan important documents, organize, maintain, and label electronic files and records.
  • Occasionally draft, edit, and schedule social media posts on related business pages.
  • Manage the planning, execution, and close-out of activities, including budget and monitoring of outcomes.
  • Oversee and supervise volunteers and staff for grants.
Requirements:
  • Bachelor's degree; Master's preferred.
  • Minimum of one year of previous relevant experience in administration required.
  • 1+ year of previous relevant experience in administrative and grant writing.
  • Ability to use business acumen to exercise good judgment and decision-making.
  • Must be team-oriented and possess a positive attitude with a willingness to be flexible and helpful.
  • Demonstrate ability to achieve high-performance goals and meet deadlines in a fast-paced environment.
  • Proven experience as an administrative assistant and/or paralegal.
  • Knowledge of office management systems and procedures.
  • Proficiency in MS Office Suite, knowledge of Google Suite, Adobe Suite a plus.
  • Familiarity with maintenance of business pages on social media (Facebook, Instagram, Twitter) and communication platforms (Constant Contact, Mailchimp, etc.).
  • Must be able to multitask with strong time management and organization skills.
  • Excellent interpersonal skills and able to communicate professionally both verbally and written form.
  • Commitment to cultural diversity and sensitivity a must.
  • Ability to maintain a professional demeanor under pressure and operate with a keen sense of urgency and commitment to quality.
  • Bi-lingual or Multi-lingual (Spanish, Chinese, Cantonese, Hebrew, French, Polish) preferred.
  • Possesses good sense of graphic design.
