Job Summary

City Wide Facility Solutions is seeking a highly organized and detail-oriented Facilities Operations Coordinator to support our day-to-day operations in Des Moines, IA. As a key member of our team, you will provide administrative assistance to various departments, including Sales, Operations, and Administration.

Key Responsibilities
  • Provide exceptional customer service by answering telephone calls and responding to inquiries in a professional and courteous manner.
  • Greet office visitors and ensure a positive first impression of our company.
  • Assist in the maintenance of electronic customer and employee files, ensuring accuracy and up-to-date information.
  • Support the development and implementation of Standard Operating Procedures to ensure efficient operations.
  • Perform operational administration tasks, including customer and IC document creation/management, regulatory compliance, and CRM management.
  • Assist in IC compliance audits and maintain required contractor documents.
  • Verify accuracy of all client and contract records in the CRM database and ensure all required client documents are uploaded and sent to accounting.
Requirements
  • Proven experience as an Administrative Assistant with a strong background in bookkeeping and/or accounting.
  • Knowledge of Human Resources principles and practices.
  • Ability to multitask, collaborate, and communicate effectively with individuals of all backgrounds in a fast-paced environment.
  • Excellent judgment and ability to handle confidential materials with professionalism.
  • Customer-oriented with the ability to care for customers' needs while following company procedures.
  • Detail-oriented with the ability to pay attention to minute details of a project or task.
  • Accuracy and ability to perform work accurately and thoroughly.
  • Problem-solving skills with the ability to find solutions for work-related problems.
  • Effective communication skills (written and oral) with the ability to clearly and concisely convey information.
  • Microsoft Office computer skills.
  • Associate Degree and a minimum of 2+ years of progressive experience in a similar role.
  • Bilingual Spanish speaking is preferred but not required.
